Requirements
  • A Bachelor's Degree or appropriate equivalent education and experience.
  • Experience in purchasing or buying.
  • Excellent verbal and written communication skills.
  • Ability to interact professionally with various University personnel.
  • A Class C operator's driver's license; the selected applicant must provide a current three-year driving record from the current state of residence and, if not a Texas resident, obtain a Texas driver's license within 30 days after becoming a Texas resident.
  • Ability to work successfully with a varied community and provide services from a non-judgmental perspective.
  • Ability to lift or move items weighing less than 20 pounds without assistance and items over 20 pounds with assistance from a coworker, dolly, or car.
Responsibilities
  • Serve as the primary buyer and purchasing representative for Healthyhorns departments.
  • Coordinate ordering and receiving of supplies, equipment, and requested purchases for the department.
  • Research submitted purchase items through current and new vendors as appropriate.
  • Work with UT Document Solutions on forms and pamphlets as applicable.
  • Submit, monitor, and track purchase orders.
  • Coordinate delivery to the requesting department or to the in-house store for inventory.
  • Control and manage departmental storeroom and PAR-level storage.
  • Accept and check in deliveries for Healthyhorns supplies.
  • Post storeroom-material deliveries to the inventory electronically.
  • Maintain files on open purchase orders and forward completed orders to the Administrative Assistant for filing.
  • Train University Health Services employees on the ordering process and coding information for processing requisitions for products and supplies.
  • Screen open purchase orders for overdue material requiring follow-up action.
  • Review PAR-level storage sites for restocking by the Stores Clerk or Supply, Processing, and Distribution Technician.
  • Restock storage sites when the Stores Clerk or Supply, Processing, and Distribution Technician is absent.
  • Maintain oversight of services and maintenance for the Ricoh printer/copier.
  • Verify copier counts and report them to the vendor for monthly invoicing.
  • Receive invoices and match them with purchase orders for invoice processing.
  • Provide backup support to the Materials Management department.
  • Assume backup responsibilities for departmental courier services.
  • Assume supervisory responsibilities for the department in the absence of the Assistant Director, Material Management.
  • Assist with the yearly inventory of medical equipment.
  • Compare inventories with office records or compute figures from records, such as sales orders or purchase invoices, to obtain current inventory.
  • Prepare lists of depleted items and recommend surveying defective or unusable items.
  • Assist with accounts payable duties for University Health Services.
  • Reconcile vendor invoices.
  • Resolve discrepancies with vendors before creating payment vouchers.
  • Coordinate routine and quarterly maintenance work-order submissions.
  • Receive and process telephone orders using the same ordering mechanisms to move, add, and change requests.
  • Change and exchange gas cylinders for primary care and clinic locations.
Desired Qualifications
  • More than three years of experience performing purchasing or stores work.
  • At least one year of purchasing experience using MarketPlace, DEFINE, and Microsoft Office.
  • Experience preparing payment vouchers.
  • Knowledge of University of Texas purchasing procedures, including competitive procurement, source selection, and negotiation.
  • Experience using a University of Texas ProCard.
  • Some supervisory experience.
  • Experience preparing professional correspondence.
  • Time-management skills with the ability to multitask, prioritize, and organize work.
  • Accuracy in maintaining records and preparing and submitting reports.
  • Customer-service-oriented behavior and public-relations techniques.
