Requirements
  • A high school diploma or equivalent is required.
  • Three years of experience working in a call center or customer service department in a healthcare environment are required; five years of combined education and experience may substitute for the minimum experience.
  • Knowledge of HIPAA compliance and various health insurance types is required.
  • Demonstrated interpersonal and organizational skills are required.
  • Ability to multitask, implement policies, and establish efficient work systems is required.
  • Knowledge of medical terminology, health plans, automated call distribution reporting, and Microsoft Office software is required.
  • Excellent verbal and written communication skills are required.
  • Fire Life Safety Training from the City of Los Angeles is required; if the card is not held upon hire, it must be obtained within 30 days and renewed before expiration.
Responsibilities
  • Supervise one or more medical call center customer service operations teams and the delivery of services to clients.
  • Implement program priorities and performance standards, assess operations against those criteria, conduct quality assurance reviews, and recommend changes.
  • Supervise staff assigned to call center operations teams, recommend staffing needs, make hiring, promotional, and salary recommendations, provide performance appraisals, and determine the need for disciplinary action.
  • Schedule staff to ensure adequate call center coverage and monitor and approve provider master schedule information in the appointment scheduling application.
  • Create and adjust shift schedules, notify call center management of schedule changes, and ensure current contact and on-call scheduling information is available for communication relay.
  • Assist with developing, implementing, and revising operational policies and procedures that support the Medical Call Center's strategic goals.
  • Develop protocols, procedures, and process descriptions for each team.
  • Assist the manager and Director with developing call center budgets, analyze team expenditures for trends, and recommend or make budgetary and resource allocations.
  • Initiate client surveys and other qualitative methods to evaluate medical call center utilization, staff performance, workflow, satisfaction, and effectiveness.
  • Prepare and distribute daily call center activity reports, report staffing issues related to patient-volume transaction changes, and assist the manager in creating global communication and management reports.
  • Supervise leads with updates or changes to call center protocols, scripts, and training materials.
  • Serve as a key resource for call center information, evaluate and research customer service incidents, take action to resolve issues, and respond in writing to special client inquiries or complaints.
  • Resolve problems or questions referred by program staff or management.
  • Develop and implement security-related procedures, including office opening and closing routines, recognition of duress signals, and key controls.
  • Coordinate security activities with the University Public Safety Department, promote security-conscious standards and behavior, maintain knowledge of university crime-prevention and suppression programs and services, and disseminate security-related information to staff.
  • Perform other related duties as assigned or requested.
