Responsibilities
  • Facilitate prompt resolution of problems related to pre- and post-care arising in daily clinical operations.
  • Perform general administrative and receptionist functions, including answering incoming calls, managing patients efficiently, and acquiring necessary patient care information and records.
  • Assist the department in managing expectations surrounding pre- and post-patient care.
  • Obtain or review patient demographic information, insurance information, and referral numbers.
  • Review clinical records for completeness, including authorizations, signatures, missing data, and other patient information.
  • Answer multiple departmental telephones, triage incoming calls, respond to questions, direct calls, and document messages in the appropriate software.
  • Greet visitors and callers, handle inquiries, and direct them to appropriate employees.
  • Work cooperatively with employees to solve problems and support efficient practice flow.
  • Provide coverage for co-workers’ responsibilities when assigned or needed.
  • Provide clinical and administrative support to the Neurocritical Division.
  • Answer, triage, and follow through on messages and information requests from Neurocritical patients and internal and external customers using UChart.
  • Obtain pre-authorization for Neurocritical oral medications and patient procedures, and coordinate medical-necessity letters and documents for patient assistance programs under nurse or physician supervision.
  • Schedule and coordinate physicians’ clinical schedules, including UMH, PAC, and satellite clinics.
  • Coordinate and supervise appointments for VIP and international patients.
  • Review patient demographic, insurance, and referral information for accuracy during calls.
  • Maintain records for new patient appointments in BOX and manage incoming faxes and mail.
  • Scan outside medical records and documents into UChart for follow-up appointments.
  • Acquire necessary materials for patient visits, including medical records and X-rays.
  • Respond to medical-records inquiries in person, by fax, telephone, and email.
  • Proactively manage physicians’ clinical schedules to maximize time and capacity.
  • Manage the UChart InBasket for the assigned division.
  • Coordinate general and professional correspondence for faculty members’ academic, research, and clinical work.
  • Copy, fax, and scan documents for distribution, filing, meetings, and other purposes.
  • Schedule and coordinate physicians’ academic calendars, including interviews, meetings, lectures, conferences, and departmental events.
  • Manage Neurocritical Care, team, UMH, and JMH schedules, as well as fellow and advanced-practice-provider schedules, and send information to appropriate lists monthly.
  • Support faculty academic work by arranging lectures, distributing educational materials, coordinating with training programs, and managing observership and resident/fellow visits.
  • Update and submit license and Drug Enforcement Administration renewals.
  • Handle membership payments and assist with initial credentialing, recredentialing, and privileges.
  • Distribute updated physician documents to appropriate internal and external entities.
  • Maintain updated physician continuing-medical-education documentation.
  • Assist with updating curricula vitae by adding publications, awards, lectures, and book chapters.
