Requirements
  • 2-4+ years of experience in lifecycle marketing, CRM operations, or admissions operations, including ownership of a messaging platform end to end.
  • Hands-on experience with Customer.io and Airtable, or comparable tools such as HubSpot, Braze, Iterable, or Salesforce Marketing Cloud.
  • Hands-on experience using Claude, ChatGPT, and other large language models to improve quality and efficiency, including drafting and editing copy, quality-assuring logic, analyzing results, and automating work that does not need a human.
  • A track record of setting lifecycle strategy rather than only executing a roadmap defined by someone else.
  • Exceptional writing and editing skills, including the ability to draft clear, persuasive applicant emails and identify errors others miss.
  • Comfort building logic-based automations, conditional branching, and data-driven triggers.
  • Demonstrated experience designing and interpreting structured A/B tests.
  • Experience administering Calendly and a shared inbox tool such as Help Scout, Front, or Zendesk.
  • An analytical mindset and confidence working with data to inform decisions.
Responsibilities
  • Own Customer.io end to end, including campaign architecture, segmentation, data attributes, deliverability, and reporting.
  • Set lifecycle strategy by defining programs, target audiences, and intended outcomes.
  • Build and launch lifecycle flows across application, invite-to-interview, interview, consult, registration, nurture, and re-engagement stages.
  • Write and edit flow copy to ensure every send is accurate, clear, on-brand, and focused on one obvious next step.
  • Partner with marketing and admissions leadership on segmentation logic for scholarship, tuition benefit, title and company targeting, and T0-T3 segments.
  • Own the pre-send quality assurance process, including copy proofing, link and UTM validation, personalization and Liquid logic checks, seed sends, and rendering checks across major email clients and mobile.
  • Own the testing roadmap across Customer.io and Airtable-triggered flows, covering subject lines, body copy, timing, cadence, channel, and segmentation.
  • Design tests with a stated hypothesis, primary success metric, and sufficient volume to interpret results, and report when results are inconclusive.
  • Track performance by segment, translate findings into recommendations, and ship winning variants.
  • Maintain documentation of every live flow, past test, and result.
  • Learn the admissions process, including stages, field logic, and Airtable actions that trigger downstream flows.
  • Own the Airtable-Customer.io integration layer, including triggers, automations, and data attributes, and keep both systems synchronized with accurate applicant data.
  • Partner with admissions on schema, field, and view changes that affect CRM triggers, and identify downstream risks before changes ship.
  • Identify funnel bottlenecks and drop-off and bring prioritized fixes to admissions leadership.
  • Build reporting views that provide stage-by-stage visibility into funnel health and conversion.
  • Own Calendly configuration, including event types, routing, availability rules, buffers, reminders, and integrations with Airtable and Customer.io.
  • Manage interviewer calendars and align availability with forecasted demand across the United States and the rest of the world.
  • Reduce no-shows and scheduling friction through reminder sequences, confirmation copy, and reschedule flows.
  • Quality-check interviewer performance data and flag issues to leadership.
  • Ensure interview experiences remain consistent and aligned with admissions standards.
  • Administer Help Scout, including mailboxes, users and permissions, tags, folders, workflows, and integrations.
  • Maintain routing and automation rules so applicant inquiries reach the correct owner with the appropriate context.
  • Report on inquiry volume, response times, and recurring question themes.
  • Feed recurring inquiry themes back into CRM messaging so common applicant questions are answered proactively.
  • Collaborate with admissions leadership to implement operational improvements.
  • Work with internal and external stakeholders on CRM updates and requests.
  • Support interviewer training by ensuring CRM-triggered flows match the latest admissions methodology.
  • Act as the source of truth for live flows, their target segments, and their messaging.
