Requirements
  • A Bachelor of Arts, Bachelor of Science, or Bachelor of Fine Arts degree and 3–5 years of experience, or an equivalent combination of education and experience.
  • Ability to provide guidance on University of Pennsylvania and Perelman School of Medicine policies and processes related to faculty employment and career progression.
  • Ability to manage varied, non-standardized work and demonstrate analytical and problem-solving skills.
  • Ability to maintain current and historical faculty files securely and confidentially.
  • Ability to monitor faculty compliance and training requirements, including medical licenses, Drug Enforcement Administration licenses, vaccines, billing, and Child Protective Services Law requirements.
Responsibilities
  • Serve as project manager for all aspects of Faculty Affairs.
  • Draft and coordinate the processing of faculty appointment, reappointment, and promotion documents, including chair recommendation letters, academic plans, Educational Database documents, peer reviews, and extramural and intramural consultant lists and letters.
  • Monitor and ensure that documents are processed and submitted to appropriate stakeholders by stated deadlines.
  • Monitor and advise on timelines related to departmental endowed chair appointments and renewals.
  • Serve as the primary point of contact for associated and affiliated faculty.
  • Coordinate all departmental Committee on Appointments and Promotions initiatives in support of faculty.
  • Initiate departmental Committee on Appointments and Promotions processes in accordance with the faculty handbook and the expectations of the Perelman School of Medicine, Faculty Affairs and Professional Development, the Office of Affirmative Action, and the Office of Medical Affairs.
  • Partner with the Vice Chair of Faculty Affairs to prepare for and participate in regular meetings with the Chair and Chief Operating Officer regarding Faculty Affairs activities.
  • Draft and coordinate the review process for chair recommendation and summary documents, academic plans, and other Faculty Affairs and Professional Development documents.
  • Provide guidance to faculty members regarding requirements for appointments, reappointments, promotion, scholarly leave, and other administrative aspects of faculty affairs.
  • Monitor and assist faculty in meeting compliance and training requirements.
  • Prepare faculty-related reports, including faculty headcount projections, for the department, the Perelman School of Medicine, the University of Pennsylvania, and other appropriate entities.
  • Provide backup support for faculty recruiting and onboarding initiatives.
  • Attend University and Health System meetings and training related to the job duties, including monthly Faculty Affairs and Professional Development and Office of Medical Affairs meetings.
  • Perform other duties and responsibilities as assigned.
