Requirements
  • Ability to read and write one or more of the following languages using non-Latin script: Chinese, Japanese, Korean, Hebrew, Yiddish, Arabic, or Russian; language assessment is required.
  • Extensive knowledge and proven ability using office productivity software, specifically Excel or other spreadsheet software.
  • Demonstrated ability using online collaboration tools such as Box and SharePoint.
  • Analytical ability and problem-solving skills, including the ability to meet deadlines, exercise judgment in resolving problems, and refer problems appropriately.
  • Oral and written communication skills and the ability to work effectively and efficiently in a team setting and establish sound working relationships with other units and departments.
  • Four years of related work experience, including two years in the same job family at the next lower level, and a high school level education; or two years of related work experience and an Associate's degree; or an equivalent combination of experience and education.
  • Ability to push heavy book trucks, carry heavy volumes, reach high shelves, climb ladders, work in locations with dust, and stand or sit for long periods of time.
Responsibilities
  • Search and verify bibliographic data with incomplete information or source material in catalogs, reference sources, files, and databases.
  • Prepare books for sale or assist with disposition of materials when needed.
  • Prepare order forms for authorized library materials.
  • Compose and type correspondence and acknowledgements.
  • Communicate by phone and in writing with vendors and publishers to resolve problems.
  • Assign vendors and dealers when needed.
  • Identify duplicate material and prepare descriptions of differences.
  • Instruct staff, revise their work, and provide work direction.
  • Assist in coordinating and distributing work when needed.
  • Perform additional clerical functions incidental to library activities.
  • Search and verify bibliographic data using catalogs, reference sources, and online databases.
  • Identify and import records from online databases and create preliminary records.
  • Create and update purchase orders, receive and process library acquisitions, and process invoices for payment.
  • Track selected approval plan spending using spreadsheets and other tools.
  • Track Library of Congress subscription receipts following established procedures.
  • Communicate with selectors and colleagues regarding firm orders, approval plans, and continuations.
  • Resolve fund and payment problems and assist with serials renewals for supported collections.
  • Communicate with vendors to make claims and solve complex problems.
  • Communicate with the Library Business Office to add and update vendors, add fund expenditure codes, and resolve invoice document management.
  • Scan invoices into the document management system and update related metadata.
  • Perform copy cataloging using local and other library-supported databases.
  • Search other library catalogs for bibliographic information.
  • Adjust call numbers to meet local requirements and assign simple non-Library of Congress call numbers.
  • Assist in managing cataloging backlogs.
Desired Qualifications
  • Preference for specific language skills based on current library needs.
  • Knowledge and ability using integrated library systems such as Alma for technical services operations.
  • Familiarity with library acquisitions and/or cataloging practices and procedures.
  • Ability to search and edit bibliographic records in library management systems or bibliographic databases such as Alma and OCLC platforms.
