Requirements
  • Greater than 5 years’ experience required.
  • Strong computer skills in Microsoft Word, Excel, and PowerPoint.
  • Strong interpersonal skills and ability to work across Pharmaceutical sites.
  • Ability to interface with all levels of staff and senior executives while maintaining tact, diplomacy and confidentiality.
  • Ability to plan and execute work independently to meet project objectives and balance tasks with TRC needs.
  • Ability to work in a variety of Pharmaceutical systems to provide PRC support.
  • Ability to complete recurring assignments independently and select appropriate methods within prescribed limits of authority.
  • Willingness to take personal responsibility for quality of work that impacts project/team/department.
  • Effective collaboration with global administrative team to achieve group objectives and support standardized global practices.
  • Ability to lead, direct and perform coordination of projects and multiple assignments simultaneously with minimal supervision.
  • Discretion and good judgment in communication and customer service while managing up.
  • Positive attitude and ability to work in a high-pressure, global organization.
  • Ability to negotiate SharePoint is an advantage.
  • Fast learner and comfortable with web-based programs, learning and systems.
  • Provide administrative support to team members.
  • Collaborate with other Project Assistants at the La Jolla site and in the clinical group.
Responsibilities
  • Provide Biotechnology Clinical Development administrative support to the Project Review Committee (PRC).
  • Schedule teams for PRC meetings and coordinate calendars and schedules.
  • Coordinate PRC meetings and PRC member schedules, including meeting room, telepresence, web-ex, and telecom across Pharmaceutical sites.
  • Prepare and finalize meeting agendas, issue Draft Meeting Summary documents for review and comment, finalize Meeting Summary documents, and archive meeting documents.
  • Take start-to-finish accountability for all administrative aspects of PRC administrative processes for the Biotechnology Clinical Development PRC.
  • Independently plan and execute work to meet assigned project objectives and balance own tasks with PRC needs.
  • Work in databases, manage calendars, coordinate governance meeting activities, and maintain attention to detail and follow-through.
  • Collaboration with team members and Administrative staff across Pharmaceutical sites, document management, verbal and written communication, initiative, planning, organizational skills, flexibility, judgment, and ability to interface with all levels of management, multi-tasking, customer service, and attention to detail under high pressure.
  • Interface with multiple Pharmaceutical systems to provide PRC support.
  • Execute recurring assignments independently and determine appropriate methods within limits of authority.
  • Provide administrative support to team members and collaborate with other Project Assistants at the La Jolla site and in the clinical group.
  • Lead, direct and perform coordination of projects and multiple assignments simultaneously, meeting deadlines with minimal supervision.
  • Interfacing with global administrative team to achieve group objectives and support standardized global practices.
  • Manage and archive governance documentation.

  • SharePoint experience or familiarity (SharePoint desired).
