Requirements
  • Demonstrated managerial, decision-making, planning, organizational, problem-resolution, and leadership skills.
  • Excellent written and oral communication skills, including the ability to adapt communication styles and negotiate skillfully with individuals at all levels within the University.
  • Strong financial reporting and quantitative skills, including the ability to create and analyze financial reports, budgets, and forecasts using Excel and database management systems.
  • Understanding of internal control concepts and the implementation of internal control systems in a complex business environment.
  • Ability to manage time and resources effectively, measure and monitor progress, and redirect efforts as needed.
  • Minimum of a Bachelor's Degree and five years of related work experience, including demonstrated leadership, project management, and/or supervisory experience, or an equivalent combination of education and experience.
Responsibilities
  • Provides efficient and effective delivery and integration of accountable administrative services, including academic, financial, research, and/or clinical services.
  • Serves as the unit's point of contact with service providers, ensuring providers understand unit needs and relevant information and monitoring the adequacy of services delivered.
  • Escalates issues and concerns related to administrative and operational services to the LA.
  • Partners with the LA to build financial plans, provide financial analysis and reporting, monitor performance against budget, recommend adjustments, and authorize transactions according to policy.
  • Prepares fund budgets by gathering historical information, providing analysis, and performing quality control.
  • Identifies financial resources and recommends how to deploy them efficiently to support unit objectives.
  • Implements and maintains internal controls, takes corrective action to protect Yale's assets and resources, and ensures adherence to policies, procedures, contractual obligations, and regulatory requirements.
  • Ensures faculty and staff understand applicable regulations, policies, procedures, and Yale requirements.
  • Connects the unit and University through communication, priority alignment, initiative implementation, and engagement in University administrative priorities.
  • Represents unit needs, challenges, and opportunities at the LA and/or University level and shares knowledge and best practices.
  • Participates with Human Resources partners in employee selection, performance management, career development, and employee relations processes.
  • Partners with the LA to assess current personnel and future talent needs and recommends movement and development of administrative talent.
  • Partners with the LA and, when appropriate, the Dean, Director, or Chair, to shape administrative and operational priorities and support strategic planning.
  • Translates unit strategy into actions, recommends resources needed to achieve short- and long-term goals, and identifies factors that may affect the unit's ability to meet its mission and goals.
  • Assesses financial and non-financial resources available to achieve unit goals, including funding, space, technology, and staff capabilities and capacity.
  • Recognizes and raises potential issues, ideas, and solutions to the LA.
  • May perform other duties as assigned.
Desired Qualifications
  • Understanding of Yale's Financial and Administrative systems, including Workday and YBT, and familiarity with university policies and procedures.
  • Experience in a sponsored awards research environment or finance administration within an academic or highly regulated setting, with knowledge of federal, state, and sponsor regulations.
  • Strong Excel skills and proficiency with financial reporting tools, including experience integrating complex financial information to identify themes, trends, and issues.
  • Demonstrated ability to manage relationships, influence outcomes, and work effectively in a complex organization.
  • A Master's Degree.
