Requirements
  • A high school diploma and one year of related experience in an administrative office or customer service field, or completion of Vision Care 1, 2, and 3 courses, or an equivalent combination of education and experience.
  • Experience with medical terminology is preferred.
  • Demonstrated ability to word-process documents and enter data into a database is preferred.
  • Demonstrated skills related to achieving customer satisfaction are preferred.
  • Ability to act as a resource to less experienced staff is preferred.
Responsibilities
  • Perform reception, registration, charge reconciliation, appointment scheduling, electronic medical record task management, In Basket management, and telephone encounter management for ambulatory care visits.
  • Greet patients, verify identity using two identifiers, identify providers, direct patients, obtain signatures, assess special needs, and monitor the reception area.
  • Protect patients’ personal health information in accordance with HIPAA regulations and maintain cleanliness and order in the waiting room and lobby.
  • Collect and enter patient demographic and financial information into the electronic medical record and patient access and revenue cycle systems.
  • Complete required patient forms and provide information about HIPAA and financial assistance programs.
  • Schedule new and return ambulatory care visits, ancillary testing, referrals, interpreters, and outside services; manage cancellations and missed appointments.
  • Monitor schedules, report problems, pre-register patients, assist with provider template changes, print after-visit summaries, collect co-pays, prepare end-of-day deposits, and reconcile discrepancies.
  • Answer and route clinic calls, open and route telephone encounters in the electronic medical record, forward calls, page providers, and take messages.
  • Correct registration errors, complete missing registration data, assist with charge reconciliation, ensure schedule accuracy, and process In Basket messages and referral work queues.
  • Assess the urgency of situations, route patients appropriately, handle complaints, apply service recovery concepts, and serve as a front-line problem solver.
  • Escort patients when needed, collect height and weight, record current medications and basic visit documentation, and obtain vital signs when clinical staff have verified competency.
  • Ensure accurate, efficient, and customer-friendly completion of patient information processing and reception functions.
