Requirements

Responsibilities
  • Answer multiple-line phones professionally and efficiently.
  • Respond to customer questions and complaints or route them to the appropriate party.
  • Welcome visitors and guests, represent the company, and answer or refer inquiries.
  • Perform general clerical duties, including filing and checking or delivering mail.
  • Manage incoming and outgoing mail and shipping.
  • Perform general computer duties, including data entry, website management, and accounts-payable posting.
  • Maintain office supply inventory, place and expedite supply orders, verify receipt of supplies, and reconcile billing.
  • Maintain, stock, and ensure the operation of coffee machines and beverage stations.
  • Provide technical support for office training sessions and office-wide meetings.
  • Assist with booking travel for incoming office guests.
  • Arrange catering or food delivery for meetings.
  • Provide administrative support to the Operations Manager, business partners, and senior executives.
  • Assist with new-hire processes.
  • Maintain the cleanliness and organization of office common areas.
  • Perform light cleanup and maintenance duties for conference rooms, break areas, refrigerators, and similar office areas.
  • Submit and monitor maintenance requests and coordinate with building management and service providers.
  • Coordinate parking-validation procurement and provide validations to guests, clients, and visitors as required.
  • Provide additional phone coverage to support other offices when necessary.
  • Schedule appointments and assist business partners with travel arrangements.
  • Manage conference-room schedules and support company meetings and training setup.
  • Schedule office meetings and training sessions.
  • Assist in planning and executing employee-welfare events and philanthropic activities.
  • Perform other duties as assigned.
Desired Qualifications
  • At least two years of switchboard experience and experience with multiple phone lines.
  • At least two years of customer service experience.
  • Bilingual ability in Spanish.
