Requirements
  • Bachelor's degree plus 1-3 years of related work experience
  • Book publishing experience required
  • Working knowledge of the Chicago Manual of Style
  • Working knowledge of database technologies
  • Working knowledge of Adobe Creative Suite and Microsoft Office
  • Excellent verbal and written communication skills
  • Ability to coordinate and prioritize multiple task demands, and effectively manage time
  • Deals with confidential information and/or issues (including reviewer identities, tax forms, etc.) using discretion and judgment
  • Proficient with computer software in a Mac environment, proficient with Word, Excel, Power Point, Adobe Acrobat
  • Able to quickly learn new programs and databases
  • Must be able to work independently and proactively as well as part of a team
Responsibilities
  • Administers editorial and production services
  • Initially reviews book proposals which are sent to the general press mailbox, collaborates in soliciting peer reviews, liaises with authors and editors on the submission of final materials, prepares final manuscripts for transmittal to production, reviews and formats manuscripts according to editorial and production standards, evaluates image specifications, reviews image and text permissions, calculates castoff estimates, finalizes transmittal forms, applies for CIP data, and collaborates on publication reprint projects
  • Manages publication data by curating file repositories and the title management system, collates monthly production data into deliverables that feed distribution and sales channels, liaises with external industry partners regarding publication statuses and metadata, updates proprietary databases with author contracts and royalty payment data, and oversees the smooth running of the press website
  • Tracks the schedules of publishing seasons by reviewing transmittal timelines with the press director and editorial director and generating publication memos at key dates that delivers data to the production team
  • Collaborates on providing new staff and student interns with training and support. This includes delegating responsibilities that align with staff strengths, and training staff on Press procedures, protocols, and relevant technologies
  • Facilitates bi-annual editorial board meetings by creating board packets (that, for each title in a season under review, comprise an information sheet, peer reviews, author responses to peer review, and samples from the manuscript) and arranging and hosting meeting spaces (either live or virtual)
  • Fields inquiries from various outside parties by managing the Press' general email account; handling permissions and book review requests; and responding to customer inquiries
  • Generates sales and inventory reports to provide information to director to monitor performance and help manage backlist. Takes on special projects as needed to research information to review the Press's business processes and strategies
  • Provides overall support for the director, editorial director, budget/royalties manager, and department in general. Additional duties which pertain to the above functions include helping production staff set up and monitor reprints, help develop eBook strategy and manage eBook distribution, provide reports to help manage reprints and overstocks, and manage permissions requests
