Requirements
  • Bachelor’s degree or an equivalent combination of education and experience
  • 7+ years of experience supporting C-suite executives, ideally a CEO, or in related executive support, chief of staff, or operations roles
  • Office 365 experience: Microsoft Word, Excel, PowerPoint, Outlook, Teams
  • Advanced calendar management and travel coordination skills
  • Excellent verbal and written communication, organization and follow-up skills
  • Strong relationship-building skills with executives, Board members, and external stakeholders
  • Ability to work both individually and as a team member
  • Ability to work effectively and accurately within a fast-paced, deadline-driven environment
  • Exceptional attention to detail and time management
  • Demonstrated ability to handle highly confidential information with discretion
  • Domestic and/or international travel required, estimated up to 10%
  • Notary Public certification was not required but preferred

Responsibilities
  • Manage the CEO’s complex and dynamic calendar, prioritizing meetings, resolving conflicts, and ensuring time is aligned with strategic priorities
  • Coordinate domestic and international travel, including detailed itineraries, ground transportation, accommodations, and expense reconciliation
  • Serve as the primary point of contact between the CEO and internal leaders, Board members, and external partners, handling all interactions with professionalism and discretion
  • Prepare, edit, and proofread executive-level communications, presentations, reports, and Board materials
  • Coordinate Board of Directors meetings and executive leadership team meetings, including agenda preparation, materials distribution, logistics, and minutes
  • Manage confidential and sensitive information with the highest degree of integrity
  • Plan and execute internal and external events, offsites, and leadership meetings
  • Process expense reports, invoices, and purchase requests on behalf of the CEO
  • Conduct research and prepare briefing documents to prepare the CEO for meetings, speaking engagements, and stakeholder interactions
  • Track and follow up on action items and commitments stemming from CEO meetings
  • Partner with the broader executive support team and other EAs to align calendars and cross-functional priorities
  • Anticipate the CEO’s needs and proactively solve problems before they escalate
Desired Qualifications
  • Notary Public certification (preferred)
  • Experience supporting a CEO at a SaaS, technology, or PE-backed company (preferred)
  • Experience in executive support, chief of staff, or operations roles with C-suite exposure (preferred)
