Requirements
  • At least 1 year of experience with staffing and scheduling software is required.
  • Previous experience in a healthcare setting is preferred.
  • Knowledge of Microsoft Office and scheduling software is required.
  • Strong written and verbal communication, organization, stakeholder engagement, problem solving, project management, attention to detail, critical thinking, conflict resolution, active listening, and relationship-building skills are required.
  • The role requires the ability to hear alarms, telephone calls, and audio recordings, as well as near visual acuity and color vision.
  • Employees must follow universal precautions, use personal protective equipment and devices, and learn infection-control policies.
Responsibilities
  • Create and edit nursing-department schedules in the electronic scheduling system according to hospital policies, procedures, and guidelines, assigning specialty roles according to each unit’s operational needs.
  • Prepare accurate daily and shift work schedules reflecting forecasted needs in collaboration with nurse managers.
  • Approve or deny schedule requests based on unit skill mix and needs, communicating with unit managers as appropriate.
  • Balance and publish schedules at the end of the self-scheduling period, determine vacancy rates for department roles, and post incentive shifts according to policy.
  • Adjust schedules by acquiring additional personnel or reducing scheduled staff, and contact available staff to fill open shifts and meet unit care requirements.
  • Determine complex department staffing needs within 24 hours of a shift and arrange appropriate coverage in the technology, communicating coverage to the units.
  • Receive sick-call notifications and manage unplanned shift vacancies; evaluate system-wide staffing needs to recruit associates for open shifts and use technology to maximize inpatient resources while minimizing fiscal impact.
  • Maintain unit and department schedules in the electronic staffing system and communicate critical or immediate staffing needs to the nurse manager or designee.
  • Approve or deny timecard requests with attestations and communicate with unit managers as appropriate.
  • Prepare timecards for manager approval by reviewing and resolving exceptions.
  • Maintain staffing-related records, files, and reports and distribute reports to appropriate leaders.
  • Assist with allocating agency resources and perform other duties related to contract labor.
  • Work scheduled PRN evening and night shifts from 7 p.m. to 7 a.m., Monday through Sunday, as needed.
Desired Qualifications
  • An Associate degree in business, Data Management, or a related field is preferred.
  • Previous experience in a healthcare setting is preferred.
