Requirements
  • A high school diploma or equivalent is required.
  • The ability to manage multiple priorities while maintaining scheduling accuracy, productivity, and proactive adjustments to meet patient needs is required.
  • Proficiency in using data to make scheduling decisions, drive continuous improvement, and meet performance targets is required.
  • The ability to conduct clear, professional conversations with families about attendance and payment policies and support adherence to therapy plans is required.
  • The ability to adapt to sudden scheduling changes and proactively find solutions to maintain service continuity is required.
  • The ability to collaborate effectively within a focused patient-support team is required.
  • The position requires working 40 hours per week.
  • The position requires prolonged periods of sitting at a desk and working on a computer.

Responsibilities
  • Proactively manage patient schedules, including daily and weekly appointment coordination, recurring and follow-up appointments, and re-evaluations.
  • Monitor and adjust schedules to maximize service availability and ensure seamless continuity of care.
  • Respond quickly and efficiently to cancellations and no-shows by filling open slots with waitlisted or make-up appointments whenever possible.
  • Engage with families to reschedule missed sessions and minimize gaps in therapy.
  • Use data insights to guide scheduling practices, analyze patterns, and make informed adjustments aligned with performance and organizational goals.
  • Communicate with families about attendance policies, financial responsibilities, and insurance coverage while maintaining transparency and professionalism.
  • Meet or exceed scheduling efficiency and patient engagement goals.
  • Continuously evaluate and improve scheduling practices to support quality and accessibility of care.
  • Ensure patient interactions and record-keeping comply with confidentiality and healthcare compliance guidelines.
Desired Qualifications
  • A Bachelor's degree in a related field is preferred.
  • Prior experience in healthcare or in a role focused on scheduling, prioritization, and managing client relationships is highly valued.
