Requirements
  • A high school diploma or equivalent.
  • Two years of additional training or related experience, or one year of secretarial training as a substitute for experience.
  • Ability to lift, push, or pull 10–15 pounds.
  • Ability to sit for long periods of time.
  • Ability to type at least 35 words per minute.
  • Understanding of Microsoft Office products, Excel, and other required systems.
  • Ability to work in a standard office environment.
Responsibilities
  • Perform a wide range of administrative duties and coordinate complex office procedures in support of departments and leadership.
  • Coordinate department correspondence to facilitate ongoing communications and efficient departmental operations.
  • Reconcile the monthly budget with analysis reports and responsibility statements; update cost-center budget tallies; send invoices to Accounts Payable; complete purchase orders, requisitions, expense forms, and credit-card statements; and secure capital-budget quotes.
  • Update policies and procedures annually and maintain departmental information for each area.
  • Provide employees with support for forms and information updates.
  • Screen and refer incoming phone calls and department visitors.
  • Prepare, maintain, and process office-supply inventory.
  • Maintain conference-room schedules; schedule staff and committee meetings and conference calls; coordinate Webex needs; notify participants of meeting details; prepare agendas and minutes as needed; and maintain appointment calendars.
  • Function as the department's payroll representative and coordinate staff payroll and leave reports.
  • Schedule travel arrangements.
