Requirements
  • Post-secondary education in business administration, project management, health sciences or a related field, or an equivalent combination of education and relevant experience.
  • At least 2 years of proven work experience as a Scheduler with hands-on experience using scheduling software systems, preferably Telestaff.
  • Proficiency in Microsoft Office Suite, especially spreadsheet, word-processing and database software, and understanding of Internet, Intranet, Extranet and client/server architectures.
  • General to intermediate understanding of application programming, databases and system design.
  • Solid understanding of all collective agreements.
  • Ability to research, navigate and monitor applicable legislation and other governing documents.
  • Strong analytical, problem-solving and organizational abilities.
  • Sound business judgment and the ability to think strategically.
  • Interpersonal, presentation, written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Knowledge of statistics, data collection and analysis.
  • Ability to create and edit reports, presentations and databases.
Responsibilities
  • Manage and provide direction to scheduling staff.
  • Hold regular status meetings with scheduling teams.
  • Ensure training on the scheduling system is provided when needed.
  • Manage software issues, upgrades, patches and testing.
  • Be accountable for the scheduling software and process by assessing setup or change requests and communicating required time and effort.
  • Schedule employees to cover vacancies and absences in all agency programs in a timely manner.
  • Create and review master schedules for all programs as needed.
  • Communicate with internal and external partners about scheduling matters, including site orientation, overtime and vacation.
  • Develop and use appropriate communication methods, including periodic reports for necessary personnel.
  • Process reports and review schedule changes such as shift exchanges, time off and training needs.
  • Ensure compliance with the Employment Standards Act, Human Rights Code and collective agreements.
  • Complete monthly and daily shift call-outs at all programs according to collective agreements.
  • Generate periodic scheduling reports for strategic planning and evaluation.
  • Collaborate with departments to ensure adequate coverage of frontline vacancies and accurate reporting of staffing hours.
  • Reconcile payroll errors in the Telestaff system.
  • Provide support to NB users through the NB Telestaff support email chain.
  • Assist departments with scheduling.
