Requirements
  • Strong theoretical and practical knowledge of administration normally acquired through undergraduate university studies or an equivalent combination of studies and work experience.
  • Three years of experience in a similar role.
  • In-depth knowledge of high school, college, and university undergraduate academic programs.
  • Experience providing client service.
  • Experience interpreting, communicating, and implementing policies and procedures.
  • Experience supervising and organizing work in a changing environment.
  • Experience using word processors, databases, spreadsheets, email, the internet, and student information systems.
  • Ability to deal with conflicting priorities and meet strict deadlines in a fast-paced work environment.
  • Ability to manage multiple files with attention to detail.
  • Ability to make decisions that could have an impact on students and/or employees of the unit.
  • Ability to show tact, diplomacy, discretion, and good judgment.
  • Experience researching and analyzing data and writing administrative and statistical reports.
  • Excellent communication skills to understand the needs of students and unit employees.
  • Organizational and analytical skills, with excellent judgment and attention to detail.
  • Front-line candidates must achieve Low Advanced proficiency or higher in oral comprehension and reading comprehension in their second official language.
Responsibilities
  • Coordinate the undergraduate studies office’s front-line service and business processes.
  • Anticipate, analyze, and interpret student requirements and determine the policies and processes to be implemented.
  • Diagnose student problems, recommend solutions, ensure implementation, and follow up as required.
  • Solve complex problems.
  • Design and implement processes, procedures, and work methods with academic administrators, or adjust existing ones, to continuously improve activities and maximize team productivity and effectiveness.
  • Check and update course sequences.
  • Notify waitlisted students when spots become available.
  • Review enrolment limits with the person responsible for academic operations or academic administration.
  • Check enrolment lists and ensure that marks are updated.
  • Plan, coordinate, assign, and review duties assigned to senior officers, serving as their resource person.
  • Set priorities and conduct short-term planning.
  • Design group and individual training plans.
  • Recruit and staff student-employee positions under the incumbent’s direct supervision.
  • Supervise Work-Study students by setting priorities, motivating, guiding, and providing feedback.
