Requirements
  • Associate’s Degree from an accredited college or university in public administration, business administration, management, or a closely related field, plus one year of professional experience in public or business administration; relevant experience and/or education may be substituted.
  • Alternatively, one year with Pima County as an Administrative Specialist I or in a closely related professional administrative classification.
  • A Level one Fingerprint Clearance Card, a Criminal History Self Disclosure Affidavit, and a Central Registry background check are required for employment.
  • A valid driver license is required at the time of application, and a valid Arizona driver license is required at the time of appointment.
  • The successful applicant must pass a 39-month Department of Transportation Motor Vehicle Record review and Fleet Services review of the driving record.
  • The successful candidate must complete post-offer, pre-employment background screening, including verification of work history, education, and criminal conviction history.
Responsibilities
  • Provide complex administrative services of a specialized nature to a department, division, or program within Pima County.
  • Negotiate and establish Intergovernmental Agreements, contracts, and other obligatory agreements, and monitor compliance.
  • Prepare work unit budgets, oversee expenditures, perform cost and statistical analyses, and prepare reports and recommendations.
  • Perform research, prepare written reports and recommendations, and inform management of issues, concerns, and problems related to specialized work-unit operations.
  • Provide information, status updates, and recommendations to department directors, division managers, and professional staff regarding the assigned area, and respond to public inquiries by interpreting work-unit and county policies and procedures.
  • Ensure work-unit policies, procedures, and activities comply with applicable federal and state statutes and regulations and county policy.
  • Oversee internal services such as accounting, payroll, personnel, management information services, and purchasing.
  • Represent the work unit at meetings, conferences, or committees and provide specialized expertise related to the assigned area.
  • Develop, maintain, and manage databases using automated information systems, and compile, review, and monitor information for reporting purposes.
Desired Qualifications
  • At least two years of experience managing high-volume phone and in-person traffic while maintaining professionalism, accuracy, and customer service in a fast-paced social service, housing assistance, or community resource center environment.
  • At least two years of experience using Microsoft Office Suite, scheduling platforms such as Teamup or Squarespace/Acuity, ERP systems such as Workday, and client-tracking systems such as ESN.
  • At least two years of experience handling purchasing cards, supply ordering, and accurately reconciling transactions.
  • At least two years of experience creating, updating, and formatting policies, forms, sign-in sheets, resource materials, and other official documents.
  • At least one year of experience working with vulnerable populations, including individuals facing housing instability or financial hardship.
  • Bilingual English and Spanish speaking, reading, and writing ability.
