Requirements
  • A bachelor's degree is required.
  • A minimum of 2–4 years of progressive administrative experience in a fast-paced office environment is required.
  • Experience as a primary point of public contact in a multi-constituent environment is required.
  • Advanced proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams, is required.
  • The ability to manage competing priorities, make sound independent decisions, and carry out complex assignments with minimal supervision is required.
  • The ability to interact professionally and warmly with students, faculty, senior administrators, industry guests, visitors, vendors, and other constituents is required.
  • Excellent written and verbal communication skills are required, including the ability to draft professional correspondence, presentations, and reports.
  • A high level of discretion and the ability to handle confidential information professionally and exercise sound judgment are required.
  • The ability to work across multiple buildings on the Boston campus is required as needed.
Responsibilities
  • Serve as the primary in-person, phone, and email point of contact for students, faculty, staff, visiting researchers, prospective students, industry partners, and department guests.
  • Apply knowledge of department programs, policies, procedures, and university resources to resolve routine and non-routine inquiries, handle complaints and escalations, and recommend courses of action to department leadership.
  • Guide students through administrative processes involving registration, petitions, co-op, research opportunities, and related resources.
  • Manage the department's general communications inbox, screen and route incoming calls and email, draft professional responses, and communicate deadlines, announcements, and procedural updates.
  • Oversee day-to-day operations of the department suite, including common areas, conference rooms, storage, and adjacent office areas, and implement solutions to improve workflow and space efficiency.
  • Maintain electronic filing and records management systems, order office supplies and equipment, and submit and track facilities work orders.
  • Coordinate onboarding and offboarding logistics for faculty, staff, visiting scholars, and research personnel, including office assignments, access cards, computer setup, and building orientation.
  • Manage department mail, package deliveries, and inter-office correspondence, and liaise with Facilities, ITS, and other university service offices.
  • Recruit, hire, train, and supervise undergraduate student workers; assign tasks, monitor hours, approve timesheets, and process hiring submissions for faculty research positions.
  • Lead end-to-end logistics for department events, including seminar speakers, faculty interviews, Industrial Advisory Board meetings, student town halls, orientation sessions, seminar series, and departmental celebrations.
  • Manage event space reservations, catering, audiovisual coordination, signage, supplies, name badges, attendee communications, and reimbursement processing.
  • Prepare event materials, briefing documents, and printed programs; maintain the department events calendar and flag scheduling conflicts.
  • Develop and refine event management processes and checklists, conduct post-event analysis, and improve future event quality and consistency.
  • Support high-visibility department initiatives by drafting correspondence, preparing presentations, coordinating stakeholders, monitoring progress, and solving problems.
  • Advise faculty on Northeastern administrative procedures, enterprise systems, key contacts, and academic calendar deadlines.
  • Process and track expense reimbursements, travel bookings, purchase orders, and procurement transactions; reconcile purchasing card transactions, monitor budget expenditures, and flag discrepancies.
  • Support faculty research logistics by coordinating vendor visits, managing shipping and receiving of research materials, and assisting with grant-related administrative tasks.
  • Coordinate faculty and committee meetings by preparing agendas, taking and distributing minutes, and following up on action items.
  • Prepare and proofread correspondence, reports, and presentations for faculty and department leadership.
  • Maintain faculty directories, committee rosters, and course listings; gather and synthesize data for accreditation, program reviews, and internal planning.
  • Support adjunct and visiting faculty onboarding and faculty search logistics.
Desired Qualifications
  • Experience in a university or academic setting is strongly preferred.
  • Experience hiring, training, and supervising student workers or junior staff is preferred.
  • Experience with university systems such as Banner, ePaws, Concur, or Workday is preferred.
