Requirements
  • Must be a U.S. citizen with a current Interim Secret or higher security clearance; an active DoD Secret clearance is preferred.
  • An Associate's degree or at least three years of related administrative or program support work experience is required.
  • Ability to work independently across multiple tasks and systems with minimal supervision.
  • Strong organizational skills and attention to detail with a customer-focused mindset.
  • Ability to work dependably and collaboratively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Ability to come into the office occasionally, approximately one to two days per week as needed.
Responsibilities
  • Serve as an administrative point of contact for new employee onboarding and employee separations across supported programs.
  • Prepare, collect, and route required onboarding and offboarding paperwork and documentation.
  • Coordinate with program managers and points of contact to complete onboarding steps accurately and on time.
  • Maintain onboarding and offboarding checklists, track progress, and flag outstanding items.
  • Ensure departing personnel complete required out-processing steps and that records are updated.
  • Maintain current personnel records, contact lists, and access documentation throughout employee lifecycle changes.
  • Coordinate, compile, and submit required monthly deliverables on time.
  • Maintain deliverable trackers covering due dates, submission status, and outstanding items across supported contracts.
  • Prepare, format, and organize deliverable packages, including monthly status reports, meeting minutes, training logs, equipment inventory reports, and program updates.
  • Follow up with team members to collect inputs and ensure deliverables are complete and accurate before submission.
  • Maintain organized records of submitted deliverables and supporting documentation for reference and audit purposes.
  • Maintain project schedules, timelines, and milestone trackers.
  • Monitor and log upcoming deadlines and flag items requiring attention.
  • Track labor hours, telework, paid time off, and leave across the team to support workforce planning.
  • Schedule and set up meetings, reviews, and team calls on behalf of program managers.
  • Track attendance, distribute agendas, capture meeting notes, and follow up on open action items.
  • Route documentation and correspondence to the appropriate points of contact in a timely manner.
  • Maintain current personnel rosters, contact lists, and emergency points-of-contact records.
  • Assist with visitor coordination and personnel access documentation.
  • Maintain organized project files, logs, and records in accordance with applicable records management practices.
  • Prepare and format status reports, meeting minutes, and program updates for distribution.
  • Maintain financial tracking documentation, including monitoring contract funding levels and supporting report preparation.
  • Maintain electronic and hard-copy filing systems and organize and upload documents to shared drives and collaboration platforms.
  • Track government-furnished equipment and property inventory for the program team.
  • Compile and route personnel documentation, including training records, performance-related forms, and recognition nominations.
  • Monitor mandatory training completion across the team and provide reminders for upcoming due dates.
  • Provide general administrative support to program leadership for day-to-day operational needs across supported work areas.
