About the position:

As an Associate Operations Manager in our HQ office, your job is to seamlessly carry out administrative and operational tasks for our bustling office. You will also provide executive assistance to our AVPT leadership team and daily cross-functional support across departments. You will collaborate alongside our global operations team to ensure alignment and efficiency of our operations across all regional offices.
This is an onsite role in office daily.
Your responsibilities will include:
- Ordering office supplies, stocking the office and overseeing office maintenance and upkeep
- Manage and disperse incoming/outgoing mail to appropriate internal contacts with urgency
- Coordinating internal and external meetings including Executive Leadership meetings and departmental meetings
- Assisting with executive travel and expense reconciliation
- Acting as a liaison between AvePoint and our vendors, suppliers, and building management and maintaining relationships with external stakeholders
- Serving as a go-to resource for all employees within Jersey City, in addition to any visiting employee or guest
- Developing and implementing new administrative and operational systems and procedures
- Coordinating and managing lease agreements alongside our Legal team
- Managing AvePoint’s Jersey City corporate apartments
- Assisting our Finance department with invoicing and payment collection
- Working alongside our People Team & Talent Acquisition to assist with onsite interviews and new hire onboarding, including coordinating travel and logistics
- Ad hoc People Team support, administrative support, and special projects and events as assigned by management
- Overseeing cultural and teambuilding events to maintain a happy and professional workplace, including philanthropy and wellness programs

- Bachelor’s Degree
- 4-5 years of relevant administrative experience
- A positive and outgoing attitude
- Ability to prioritize and act with urgency when needed
- Proficiency with Microsoft Office and related technologies
- Self starter with strong initiative and the ability to work independently
- High-level of resourcefulness, confidence, and problem-solving skills
- Organized and meticulous, with proven ability to handle multiple tasks at a time
