Requirements
  • A high school diploma and four years of relevant experience in business management, public administration, or administrative services, or a bachelor's degree and two years of experience in those fields.
  • Ability to work with confidential information using tact and discretion.
  • Above-average computer skills and the ability to learn new software programs.
  • Experience with Microsoft Word, Excel, PowerPoint, Publisher, Access, and Outlook.
  • Ability to perform the listed physical job functions, including frequent sitting, walking or mobility, bending, repetitive hand and arm movements, and occasional lifting, carrying, pushing, or pulling of objects up to 15 pounds.
  • Ability to work indoors continuously and occasionally work outdoors in all weather and temperature extremes, dusty areas, or confined spaces.
Responsibilities
  • Supervise and train Transplant Surgery administrative staff, maintain communication about office policies and procedures, manage workflow and telephone coverage, coordinate recruitment and onboarding or exiting procedures, complete annual performance evaluations, resolve conflicts, counsel staff, maintain timekeeping, coordinate radiation badges, and coordinate student participation in the job-shadowing and career-exploration program.
  • Provide administrative support to faculty, advanced practice providers, PharmD staff, and research coordinators, including coordinating daily schedules, meetings, appointments, surgeries, and monthly call schedules.
  • Manage administrative tasks supporting the Division of Transplant Surgery's research efforts, including grant submissions, manuscript typing, research meeting materials, calendar management, minutes, presentations, journal clubs, proposal reviews and scores, annual research funding documentation, website updates, and support for resident, junior faculty, summer student, and research council programs.
  • Assist with coordinating clinical efforts, schedule patients for surgery, update CPT codes and coding descriptions, obtain insurance approval, coordinate admitting-office arrangements, and communicate admission, appointment, and surgery information to patients and referring physicians.
  • Supervise completion of operative reports, letters, and patient charting in EPIC; use EPIC reporting to track open encounters, reconciliation, and billing; maintain Lifepoint operative reports; and assist with billing.
  • Receive emails, phone calls, information requests, and fellowship applicant curricula vitae; create interview itineraries; schedule fellowship candidate interviews; verify institutional accreditation; enter NRMP match and ranking data; assist fellows with visa approval, medical licensing, Social Security number, DHEC, and DEA applications; and coordinate required training, facility and program access, and supplies.
  • Assist with preparing the division budget and monitoring spending; coordinate travel arrangements, itineraries, meeting registration, and reimbursement requests; coordinate facilities and engineering upgrades, maintenance, and repairs; order office supplies; and maintain office equipment, faculty phones, and pagers.
