Requirements
  • A bachelor's degree in a healthcare-oriented profession, a technology field, or another discipline that demonstrates strong analytical and communication skills.
  • Five years of experience serving in a project team leadership role with responsibility for managing vendor-packaged system deployment projects and/or process improvement projects within healthcare.
  • Experience working effectively with multiple diverse stakeholders in a complex project environment.
  • Experience managing project work and/or the work of others within an established standard project life cycle framework.
  • Proven experience in a project leadership role with progressively complicated projects.
  • Experience with Microsoft Office and Office 365 tools, including Project, Word, Excel, Visio, PowerPoint, and Outlook.
Responsibilities
  • Lead project initiation and planning phases for assigned projects using DLMP Project Management Office standard tools and templates.
  • Work with resource managers and the DLMP Project Management Office to assign project resources.
  • Define and communicate clear project roles and responsibilities with an organization chart.
  • Complete project tool setup with assistance from the DLMP Project Management Office using Microsoft Project or Planner and Smartsheet.
  • Work with relevant team coordinators to develop timelines and resource estimates.
  • Report project status regularly to the DLMP Project Management Office, sponsors, and impacted leadership.
  • Manage scope, schedule, and budget for assigned projects throughout the project lifecycle, including tracking compliance, progress, activity, change requests, and schedule communication.
  • Develop and submit project budget, scope, and schedule change requests for approval when conditions are met.
  • Ensure project components are integrated and work within common goals and assumptions, including system integration points, upstream and downstream workflow and system impacts, testing, implementation planning, and operational handoffs.
  • Manage execution of assigned projects within the standard project framework using standard tools, templates, policies, and procedures.
  • Ensure documentation of user, system, and technical requirements, workflows, application designs, and technical designs relevant to projects.
  • Execute test plans covering appropriate technology and operational workflows.
  • Understand and track task dependencies and timeline impacts.
  • Escalate issues and risks appropriately.
  • Complete standard project deliverables within the appropriate project-phase timeframe unless an approved exception exists.
  • Manage assigned project issues and risks throughout the project lifecycle.
  • Assist with initial risk assessment, document risks, and lead development of mitigation plans.
  • Include and document mitigation plans for key project risks and tasks in the project work breakdown structure, escalating tasks outside project scope.
  • Review and monitor new and existing risks, risk factors, and updates at an appropriate frequency.
  • Communicate issues, risks, and risk responses to team members, stakeholders, sponsors, and leadership as appropriate.
  • Provide education to the project team about issue-management responsibilities from the beginning of the project.
  • Monitor that issues are documented, assigned, given severity, prioritized, and updated by team members.
  • Escalate and communicate critical and high-severity issues to project sponsors or project leadership when appropriate.
  • Create and maintain service-oriented relationships with business owners, sponsors, leadership, resource managers, and project teams.
  • Communicate current efforts, achieved milestones, risks, and issues through formal status reports and meeting forums.
  • Report project progress, including earned value, planned value, and variance.
  • Assist with and conduct regular project meetings with agendas and minutes.
  • Communicate and manage completion, maintenance, and execution of project plans with the team, including external communications when needed.
  • Escalate issues and decisions using a discrete, objective, and actionable framework.
  • Manage assigned project staff in the execution of project tasks by providing direction and serving in a primary supervisory role.
  • Define required skills and work with the DLMP Project Management Office and resource managers to assign individuals to project roles.
  • Delegate project responsibilities with clear expectations for deliverable scope, quality, timeline constraints, tools, and processes.
  • Ensure the quality and timeliness of work produced by assigned project staff and escalate exceptions to the DLMP Project Management Office.
  • Escalate resource-related issues to the DLMP Project Management Office as appropriate.
  • Provide performance input on team members, as requested by resource managers, for inclusion in personnel evaluations.
  • Mentor assigned project staff in project management.
  • Manage vendor execution and deliverables for assigned projects.
  • Define and publish clear roles and responsibilities for vendor project team members.
  • Define vendor deliverable responsibilities and agreed timelines.
  • Monitor vendor performance and escalate exceptions to the vendor engagement lead or DLMP Project Management Office.
  • Provide input on vendor contractor performance when requested.
  • Monitor vendor time spent on fee-for-service arrangements by tracking and reporting time and materials.
  • Lead projects and project teams through implementation, post-implementation, and support transition.
  • Lead pilot or project implementation through the DLMP Release Readiness process.
  • Assist with development of go/no-go criteria and contribute to decision-making when necessary.
  • Coordinate with operational support managers to update existing workflows with new project workflows.
  • Facilitate formal operational handoff.
  • Complete the project close checklist and lessons-learned tasks.
  • Develop and refine Project Management Office standards as assigned.
  • Participate in project prioritization and portfolio load balancing, acting as backup for other team members and functions as needed.
  • Participate in Project Management Office internal projects.
  • Promote Project Management Office standards and project management discipline to project team members and stakeholders.
Desired Qualifications
  • Seven years of experience in a formal project management role managing medium- to large-scale, multidisciplinary projects within a complex environment.
  • Experience working in or around clinical and research laboratory settings.
  • Experience in academic healthcare.
  • Experience working as a project manager within a Project Management Office that uses standard project templates and tools, including Project Online or other project portfolio management tools.
  • Formal training and/or certification in PMBOK-based project management techniques.
  • Continuous Quality Improvement training and experience leading quality improvement teams.
  • Organizational Change Management training and experience, such as PDCA or PROSCI.
