Requirements
  • A bachelor's degree is required.
  • At least five years of sponsored research administration or related business administration experience in an academic setting is required.
  • Successful completion of a pre-employment background check is required.
  • Ability to work independently and as part of a team in a time-sensitive, high-volume work environment while managing several projects at a time.
  • Ability to interpret and apply laws, regulations, and policies related to sponsored programs, including federal, state, and local agency regulations and procedures, Federal Acquisition Regulation, Cost Accounting Standards, Generally Accepted Accounting Principles, and Office of Management and Budget Uniform Guidance governing research administration.
  • Proficiency with electronic and budgeting tools, Microsoft Suite, and databases.
  • Ability to coordinate multiple projects simultaneously, work independently under pressure, and meet inflexible deadlines.
  • Ability to be detail-oriented to comply with sponsor proposal requirements.
  • Ability to prioritize responsibilities and contribute to a collegial team culture.
  • Knowledge and skill with Oracle Self Service Applications and Core Applications, including Grants Management, Purchasing, Accounts Payable, and Accounts Receivable.
  • Ability to maintain and safeguard confidentiality.
  • Ability to prioritize projects and tasks, meet deadlines, maintain accurate and detailed records, and maintain high accuracy in all work produced.
  • Ability to work under pressure with frequent interruptions, prioritize work, and deal with people professionally and effectively while remaining calm and task-oriented.
Responsibilities
  • Prepare proposal development and ensure budgetary compliance.
  • Prepare proposal packages for compliance with sponsor requirements.
  • Complete representations and certifications.
  • Identify required protocols, including human subjects, animal subjects, and recombinant DNA, and disclosure requirements such as conflicts of interest, and notify the Compliance Administrator.
  • Enter proposals into sponsor proposal packages and complete routing requirements in SPARCS.
  • Work with principal investigators to organize and assemble proposals and assist with complex multi-investigator proposals involving multiple institutions.
  • Interact daily with faculty, staff, researchers, federal and non-federal sponsors, finance and research representatives from subcontracting institutions, Carnegie Mellon University's Office of Sponsored Programs, Office of Research Integrity and Compliance, Sponsored Projects Accounting Office, and campus-wide finance and research administration counterparts.
  • Participate as an active and collaborative member of the Chemistry and Biological Sciences Research Administration team, including team meetings, training, and professional development.
  • Provide information regarding potential funding agencies.
  • Assist principal investigators in meeting agency and sponsor deadlines.
  • Provide principal investigators with materials received from the Office of Sponsored Programs, agencies, or industry sponsors, including specific instructions or restrictions pertaining to awards.
  • Provide compliance administrators with information about the inclusion of humans, animals, hazardous materials, and recombinant DNA when applicable.
  • Advise partners regarding agency or industry sponsor communication and solicitation requirements during review, after submission, and during the award process.
  • Interpret regulations and guidelines for program funding for multiple moderately complex grants.
  • Provide faculty members with options and scenarios for proposal planning and work execution, including assessing labor allocation and distribution across multiple awards.
  • Develop budgets for faculty members and assist in proposal creation and submission, including proposal budgets with multiple subcontractors.
  • Provide proposal and award data to the business manager, department head, and college for annual and other reporting purposes.
Desired Qualifications
  • NCURA or SRA certification is preferred.
  • A combination of education and proven experience from which comparable knowledge is demonstrated may be considered.
