Primary Function of Position:

Join us as an Intuitive Ventures Executive Assistant and become a part of our close-knit team with your passion to handle organizational and administrative challenges. This is a unique opportunity to play a pivotal role in supporting our team and partners in their day-to-day activities and contribute to the overall success of our organization. You will be a key liaison within our team, ensuring seamless communication, efficient operations, and strategic alignment. Thereby, you actively contribute to our mission to support outstanding founder teams that are building the next generation Digital Infrastructure and Web3.

Roles & Responsibilities:

• Office Management: Efficiently manage daily office operations, including mail handling, procurement of office supplies, and maintaining a warm, welcoming and organized workspace. Greets external guests and escorts guests to meetings.
• Project Support: Assist in special projects, collaborating across the team to ensure timely and successful project completion. Assist in collecting and presenting data to facilitate informed decision-making. Assist in preparation of high attendance meetings, customer visits, board meetings, tradeshows and education events, i.e. organization of conference rooms, hotels, logistics, events planning, catering, AV equipment, print material etc.
• Calendar and Time Management: Efficiently manage the complex schedules of the investors, optimizing their time and ensuring that important meetings, appointments, and deadlines are well-coordinated.
• Meeting Coordination/Events and offsites: Organize and facilitate meetings, including agenda and presentation preparation and minutes documentation. Help drive actionable outcomes and follow up on action items.
• May schedule candidate interviews and candidate travel as needed.
• Travel and Logistics: Coordinate travel arrangements, itineraries, and accommodations for the team and support with expense management.
• Relationship Building: Help to develop and maintain positive relationships with stakeholders, both internally and externally, fostering collaboration and effective communication and take over tasks in the areas of PR, Marketing and Event Planning.
• Accounting Assistance: Manage PO creation, expense tracking etc. Work in close collaboration with the finance team to ensure accurate financial records.
• Professional Development: Stay current with industry trends and best practices, continuously enhancing your skills.

Qualifications

Skills, Experience, Education, & Training:

• Successfully completed apprenticeship/professional education
• Ability to thrive in a fast-paced, collaborative environment with a high level of integrity, professionalism, and adaptability
• Strong organizational skills with a "hands-on" mentality and meticulous attention to detail
• Great verbal and written communication skills
• Handle sensitive information with the utmost confidentiality and discretion, maintaining trust and integrity in all interactions
• Familiarity with digital-first processes in a “paperless” office
• Proficiency in office productivity software (Microsoft Office; Google Workspace and Notion are an advantage) and ideally a basic understanding of accounting principles
• We appreciate prior experience in supporting "executive" management in an international and dynamic environment
• Minimum High school diploma, secondary education, vocational training or equivalent required
• Minimum of 6 years of related experience​
• Proven expertise in interacting across the highest organizational levels
• Excellent communication skills amongst senior stakeholders​
