Requirements
  • An Associate degree in Information Technology is required.
  • A minimum of 4-6 years of related experience in Workday systems administration across multiple functional areas, including HCM, Payroll, Finance and/or Student.
  • A minimum of 1-2 years of advanced Workday administration experience in a complex, multi-tenant environment.
  • Extensive experience as an Application Administrator or in a similar leadership role.
  • Demonstrated leadership experience in a team environment.
  • Advanced experience with Workday configuration, reporting, testing, and troubleshooting.
  • Demonstrated ability to operate independently, exercise sound judgment, and lead complex technical work.
  • Basic to advanced proficiency with Workday Security, the Business Process framework, and Report Writer.
  • Ability to configure business processes, notifications, condition rules, and calculated fields in alignment with business requirements and least-privilege principles.
  • Ability to establish frameworks for Security and Access Governance, Business Process Architecture, and Tenant and Release Management, including role-based access control, least-privilege audits, and bi-annual release-cycle coordination.
  • Ability to implement Enterprise Interface Builder, application programming interfaces, and advanced reporting and analytics for executive and compliance data needs.
  • Ability to coordinate with functional subject-matter experts across HR, Payroll, Finance, and Student departments to align technical solutions with business processes and FERPA compliance standards.
  • Ability to define reporting standards and support compliance requirements.
  • Advanced knowledge of Workday functionality, reporting tools, and data structures across HCM, Payroll, and Student modules.
  • Ability to translate complex technical concepts into clear guidance for non-technical audiences.
  • Strong analytical skills to assess risk, identify trends, and recommend solutions.
  • Ability to plan, prioritize, and execute complex system initiatives with minimal supervision.
  • Professional judgment in handling sensitive data, compliance requirements, and system access.
  • Working knowledge of Entra, Active Directory, Intune, and Group Policies.
  • Knowledge of integration technologies, application programming interfaces, and data management tools.
  • Familiarity with IT service management frameworks and ticketing systems.
  • Authorization to work in the United States, verified through the federal I-9 process.
  • Successful completion of a criminal history background check is required for finalists.
Responsibilities
  • Maintain application functionality across Workday HCM, Finance, Payroll, and Student modules, including security patches, version upgrades, backups, and disaster recovery processes.
  • Advise on application security models and implement security architectures that protect institutional data.
  • Work with the Office of Audits and Analysis to ensure appropriate controls and audit logs are in place.
  • Investigate actual or potential security breaches and ensure identified breaches are resolved.
  • Implement system changes required to maintain security and ensure security records are accurate.
  • Handle confidential and privileged information in accordance with FERPA, Title IV, and other regulatory requirements.
  • Develop test plans to verify logic, system functionality, and security configurations.
  • Maintain and optimize Workday modules with enterprise-level access across functional areas.
  • Execute complex system updates, enhancements, and validations to ensure operational stability, accuracy, and enterprise readiness.
  • Migrate configuration changes from sandbox tenants to production environments after testing and validation.
  • Serve as the configuration deployment specialist across Workday environments.
  • Manage security governance, including role-based permissions, access controls, security role assignments, and ongoing audits.
  • Review and approve security role assignments to ensure appropriate access levels and segregation of duties.
  • Perform regular audits of role appropriateness and least-privilege principles.
  • Design security models, role frameworks, and enterprise-wide business process architectures.
  • Oversee business process configurations, approval workflows, and system integrations across organizational units.
  • Collaborate with functional area analysts on business processes, notifications, condition rules, and calculated fields.
  • Plan, coordinate, configure, test, and communicate changes, upgrades, maintenance schedules, and new services with clients.
  • Support bi-annual tenant release cycles through feature impact assessment, prioritization, sandbox testing, regression planning, user acceptance testing coordination, and go-live execution.
  • Coordinate unit, integration, and user acceptance testing for system changes.
  • Manage implementation of new modules, features, and integrations with minimal operational disruption.
  • Create, update, and manage application support tickets from initiation through resolution.
  • Ensure support requests are handled according to established service-level agreements.
  • Answer and respond to customer support tickets within defined service-level agreements.
  • Prioritize, investigate, diagnose, and resolve user issues and incidents.
  • Troubleshoot and escalate application issues or defects to vendors.
  • Implement agreed remedies and preventative measures to facilitate recovery.
  • Own escalation and incident response, escalating to vendors as needed.
  • Ensure the integrity, reliability, and audit-readiness of enterprise data.
  • Apply data governance practices to reduce institutional risk and maintain system trust.
  • Monitor data quality, identify anomalies, and implement corrective measures in production environments.
  • Ensure compliance with FERPA, Title IV, student data privacy, educational, HR, payroll, and financial requirements.
  • Use Workday Report Writer and calculated fields to develop diagnostic reports for troubleshooting, data validation, and root-cause analysis.
  • Perform system health checks and internal audits using advanced reporting.
  • Maintain proficiency in Workday reporting tools for internal IT investigations and research.
  • Monitor and analyze patterns, trends, and issues across Workday modules.
  • Update products and processes based on monitoring insights.
  • Perform proactive system health checks to identify potential operational issues.
  • Stay current with Workday releases, features, and updates and assess their applicability across the organization.
  • Identify opportunities for system optimization and process automation.
  • Serve as the escalation point for technical issues unresolved at the functional-area level.
  • Maintain system documentation, including knowledge-base articles, root-cause analyses, support tickets, change logs, user guides, standard operating procedures, and user-management documentation.
  • Coordinate with Application Engineering teams on integration design and data flows.
  • Implement prebuilt APIs and custom integrations.
  • Identify and escalate integration issues to the Application Engineering team.
  • Monitor integration performance and troubleshoot connectivity issues between Workday and other enterprise platforms.
  • Coordinate with functional subject-matter experts across HR, Payroll, Finance, Student Services, Academic Affairs, the Registrar, and Financial Aid.
  • Partner with product owners and business stakeholders to understand requirements, identify application impacts, and recommend solutions.
  • Collaborate with cross-functional IT teams to resolve issues and optimize system performance.
  • Participate in cross-functional meetings and represent Support during product release planning.
  • Provide technical support to functional-area analysts and end users.
  • Create documentation and process improvement plans for functional-area analysts.
  • Provide escalation support and mentoring to Application Administrator personnel as needed.
  • Facilitate change management and guide teams through adoption of new processes and technologies.
  • Elicit, document, and distribute client feedback on products and services.
  • Contribute to strategic planning for enterprise technology initiatives and develop strategies, policies, standards, procedures, and tools.
  • Evaluate emerging technologies and recommend data-driven solutions aligned with institutional priorities.
  • Balance academic, administrative, and student-facing operational needs while maintaining enterprise system integrity and standardization.
  • Develop and present data-driven recommendations for improving business processes and Workday functionality.
  • Understand business functions and workflows across HCM, Payroll, and Student applications.
  • Be available outside normal working hours when required.
Desired Qualifications
  • A Bachelor's degree in Computer Science, Information Technology, or a related field is preferred.
  • Working knowledge of SQL is recommended.
  • Workday Pro Platform Administrator Certification.
  • Workday Pro Security Certification.
  • Workday Pro Adaptive Planning Certification.
  • Workday Pro certification in at least two modules across HCM, Payroll, and/or Student.
  • CompTIA, A+, Network+, Server+, or ITIL Foundations certification.
  • Experience serving as a technical lead or mentor to other analysts.
  • Experience supporting operations in a multi-campus or complex organizational environment, particularly in higher education.
  • Experience in higher education environments, including understanding of academic calendars, enrollment cycles, and student lifecycle management.
