Requirements
  • An Associate's degree and a minimum of three years of relevant experience, or an equivalent combination of education and experience, are required.
  • Proficiency with Microsoft Suite, FileMaker Pro, virtual collaboration tools including Zoom and Box, and Adobe is required.
  • Knowledge of office procedures, database entry principles, customer service and public relations principles, principles of mathematics, mailing and distribution methods, training principles, leadership principles, intermediate to advanced budget administration principles, inventory and supply maintenance principles, and event planning is required.
  • Ability to communicate and interact effectively, verbally and in writing, with people across diverse backgrounds and cultures is required.
Responsibilities
  • Provide administrative support to one or more divisions within the Department of Medicine.
  • Support the Assistant Director of Clinical Administration and Division Chief by preparing credentialing and reappointment paperwork and managing divisional business administration needs.
  • Develop and analyze productivity reports and distribute them monthly to clinic and medical leadership.
  • Advise division faculty regarding University of Rochester Medical Center and Nephrology Division policies and procedures.
  • Organize divisional retreats and events.
  • Serve as the subject matter expert for QGenda and build and maintain scheduling rules, assumptions, and notifications.
  • Maintain supply ordering through Workday and PCard.
  • Maintain employee information and serve as the point of contact for ADtools and the Staff Finder/Global address book.
  • Manage the division's cell phone policy and requirements, including purchasing new devices and tracking monthly charges.
  • Sort and distribute mail.
  • Provide meeting coordination support and take and distribute meeting minutes when needed.
  • Serve as the division's timekeeper and approve time at the direction of the Assistant Director of Clinical Administration.
  • Oversee preparation of documents for faculty and post-doctoral appointments, reappointments, promotions, and terminations.
  • Complete visa paperwork and ensure candidates and employees complete visa requirements on time.
  • Complete credentialing applications to third-party payors and other health systems for attending nephrologists and advanced practice providers.
  • Maintain faculty personnel records in compliance with Joint Commission and Accreditation Council for Graduate Medical Education guidelines.
  • Coordinate quarterly Medicare Faculty Time and Effort Reports and extract data to produce summaries.
  • Schedule providers for required annual training, mask fittings, tuberculosis testing, board certification, New York State licensure, Drug Enforcement Administration certification, and other appointment and directorship requirements.
  • Schedule billing compliance reviews as needed.
  • Serve as the point of contact for the CheckMedic system to ensure appropriate credentialing and enrollment with Fresenius Dialysis Units.
  • Develop, analyze, and distribute monthly provider productivity reports to division and department leadership.
  • Ensure that relative value units, volumes, open notes, and other metrics are accurately captured and accounted for.
  • Prepare and complete Merit-based Incentive Payment System reporting annually.
  • Maintain University of Rochester space and equipment records for the Nephrology Division.
  • Manage swipe access and conference-room calendaring needs.
  • Initiate facilities and information technology tickets and order equipment, including computers.
  • Develop reports to track clinical sessions and ensure providers meet expected contact-hour targets.
  • Ensure vacation and continuing medical education time is entered promptly and stakeholders are informed of changes and conflicts through system notifications.
  • Manage administrative and logistical arrangements for division retreats, special meetings, events, and weekly sign-out lunches.
  • Prepare personnel and extra-compensation forms at the direction of division leadership.
  • Perform account reconciliation on non-research accounts as directed.
  • Maintain awareness of ambulatory, hospital, Department of Medicine, and Nephrology Division policies and procedures.
  • Ensure faculty are oriented to routine procedures as necessary.
  • Act independently as appropriate to anticipate and resolve divisional questions and problems.
  • Perform other duties as assigned.
