Requirements
  • Two years of experience in an office setting or an associate degree/vocational training.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Publisher, Google Sheets and Docs, website management, business-purpose social media, and related programs.
  • Working knowledge of modern office practices and procedures and an interest in Extension home and community programs.
  • Ability to perform varied clerical work requiring some independent judgment.
  • Ability to multitask, set priorities, and follow written and verbal instructions.
  • Ability to establish and maintain effective working relationships and communication with colleagues, other Utah State University employees, other departments, and the general public, including in stressful situations.
  • Successful completion of a background check.
  • Reliable transportation to travel to events and complete department errands.
  • Ability to demonstrate selected office skills during the interview process, if required.
  • Proficient computer skills in Microsoft Office, data management, email, social media, online storage programs, calendar management, and internet use.
  • Ability to learn new office technologies as they are developed and implemented.

Responsibilities
  • Perform office duties including answering phones, directing calls, data entry, filing, appointment scheduling, and other general duties; some evening and weekend work may be required.
  • Provide administrative support by scheduling appointments, coordinating meetings and conferences, and sending email correspondence for Extension home and community programs.
  • Greet visitors, handle inquiries, and direct visitors to appropriate personnel.
  • Sort, screen, and distribute incoming and outgoing mail.
  • Compose and word-process standard documents, correspondence, and reports, and take meeting minutes as requested.
  • Use word-processing, spreadsheet, Publisher, and Canva software to create fliers; maintain registration information and attendance lists; process enrollments and memberships; maintain filing systems and records; and enter and retrieve mailing-list, label, database, and reporting data.
  • Provide non-business-related support for departmental programs and projects as needed.
  • Compile research data and prepare papers for consideration and presentation.
  • Report maintenance needs for office equipment and buildings.
  • Perform miscellaneous job-related duties as assigned.
  • Maintain budget spreadsheets and reconcile them monthly with university reports.
  • Assist with purchasing supplies and ordering or shopping for food for programming when needed.
  • Assist with lesson-material preparation and organization of programming materials for home and community programs.
  • Complete and submit Utah State University forms and documentation for financial responsibilities, travel, and other needs.
  • Assist with travel authorization and reimbursement as needed.
  • Handle cash properly, ensure timely deposits into the appropriate checking accounts, and manage payments, reimbursements, and related expenses.
  • Organize and store receipts and other documents according to policy guidelines.
  • Compile information about upcoming programs for office-wide marketing and distribute it to the public through county social media platforms, websites, and collaboration with county marketing resources.
Desired Qualifications
  • Knowledge of the mission and purpose of the Cooperative Extension System.
  • Experience with evaluation, website management, and event-management programs.
  • Ability to speak basic conversational Spanish.
