Requirements
  • An associate degree in Business or an administrative field, or a high school diploma or equivalent with two years of Business or Administrative training or equivalent experience.
  • A customer-service focus with strong communication and interpersonal skills.
  • Proficiency in Microsoft Office programs.
  • Ability to verify identity and eligibility to work in the United States and complete the required employment eligibility verification form upon hire.
Responsibilities
  • Support the Project Manager, Superintendent, and/or Site Engineer with accounting and operations activities.
  • Enter and submit time sheets.
  • Verify time and material tickets from the field for Payroll.
  • Gather and send new employee information to Payroll.
  • Maintain and distribute trend charts, Procore reports, Operator Inspection sheets, concrete and soil testing reports, Daily End of Shift reports, and similar documents.
  • Schedule jobsite visits, Operations Plans, pre-installs, and meetings with clients, architects/engineers, and subcontractors.
  • Take weekly jobsite photos and distribute them appropriately.
  • Coordinate safety lunches.
  • Print job information for field personnel and foremen as needed.
  • Update and post safety signage.
  • Order field supplies such as lumber and hardware.
  • Send Yard Orders and tool transfers to the Yard.
  • Draft, send, track, and execute subcontracts and agreements.
  • Distribute drawings and contract documents when new documents are produced by the design team.
  • Receive, send, and track submittals, including product data, shop drawings, and samples, to and from subcontractors, suppliers, and designers.
  • Assist with the change management process.
  • Submit or assist with submitting Requests for Information.
  • Track RFI responses, update logs, and send them to architects and engineers.
  • Post paper and electronic drawing sets with RFIs and change bulletins.
  • Send, receive, and track Requests for Quotations from subcontractors and vendors.
  • Distribute letters, reports, memos, meeting minutes, and other documents, including confidential documents when necessary.
  • Ensure routine daily, weekly, and monthly work items and data reports are received; follow up on and expedite late items.
  • Maintain a clean office environment and purchase supplies as needed.
  • Maintain electronic and physical files and record documents.
