Requirements
  • A high school diploma and four years of relevant experience in business management, public administration, or administrative services; or a bachelor's degree and two years of experience in those areas.
  • Ability to perform the listed physical job functions, including frequent sitting, walking, bending, repetitive hand and arm movements, and continuous use of both hands and arms.
  • Ability to lift, carry, push, and pull objects weighing up to 15 pounds without assistance.
  • Ability to maintain the specified corrected vision, depth perception, peripheral vision, hearing acuity, and tactile sensory functions.
  • Ability to work indoors and, infrequently, outdoors in all weather and temperature extremes, confined or cramped spaces, and dusty areas.
  • Ability to use QGenda, Epic, Fabric, Power BI, and Excel pivot tables for scheduling, reporting, and operational analysis.
Responsibilities
  • Review, assess, and approve daily clinic cancellation requests in QGenda accurately, promptly, and according to scheduling guidelines.
  • Update QGenda daily for clinic cancellations, schedule changes, and template modifications, ensuring QGenda and Epic schedules remain synchronized and accurate.
  • Partner with peers, Patient Access, Central Scheduling teams, and leadership to identify and resolve scheduling issues.
  • Ensure patient outreach and calls for appointments occurring within 30 days are current and appropriately managed.
  • Evaluate requested schedule and template changes and assist in determining their feasibility and implementation.
  • Review reports and information from Patient Access and Central Scheduling liaisons.
  • Investigate discrepancies, identify root causes, and collaborate with stakeholders to develop and implement effective solutions.
  • Develop and provide QGenda training and ongoing support to faculty and staff, and serve as a resource for scheduling workflows and system functionality.
  • Track and monitor aging open encounters and assist providers with resolving errors or issues preventing encounter closure.
  • Communicate proactively with providers about encounters approaching the 20-day aging threshold and follow up to ensure closure within 29 days.
  • Produce standard and ad hoc reports using Fabric, Power BI, Excel pivot tables, Epic, QGenda, and other available systems.
  • Analyze data to identify trends, discrepancies, scheduling concerns, and opportunities for operational improvement.
  • Establish and maintain working relationships with providers, faculty, staff, Patient Access, Central Scheduling, template builders, and other operational partners.
  • Assist the direct manager with email management, meeting coordination, follow-up activities, documentation, and other administrative and operational responsibilities.
