Requirements
  • A bachelor's degree and five years of experience in program management, operations, and/or support of strategic initiatives are required.
  • Experience managing a team of staff with distinct roles and expertise to achieve a joint large-project mission is required.
  • Ability to work in a fast-paced environment with personnel from a wide range of backgrounds and with different stakeholders is required.
  • Ability to strategically manage, assess, and lead efforts to meet long-term goals is required.
  • Ability to connect, structure, and track short- and intermediate-term activities to long-term goals is required.
  • Self-motivation to acquire new skills and knowledge and to form strong interpersonal connections is required.
  • Familiarity with, and willingness to assess and adapt, the latest tools and technologies that may be helpful for the work is required.
Responsibilities
  • Represent the team when presenting the Center's vision, activities, and achievements to visitors, university leadership, members of the National Science Foundation, news and media, and government representatives.
  • Assist the Center Director and Leadership Team with cross-center coordination, alignment, and ownership of the Center's vision by facilitating connections and identifying interest- and expertise-based opportunities.
  • Match Center resources and personnel to activities to meet the Center's goals.
  • Provide oversight for Center activities, supporting cross-program alignment with Center goals, objectives, milestones, deliverables, reporting, and dissemination.
  • Establish Center-wide processes that maximize coordination and synergies, including education-material development, HERO participatory design workshops, robot deployments, Gantt-chart tracking, meeting coordination, communication channels, and calendar synchronization.
  • Help boards and committees operate effectively by supporting committee leadership, goal and agenda setting, cross-project communication, and membership turnover.
  • Organize major Center events, including annual strategic planning, site visits, panels, meetings, and other Center-wide activities.
  • Provide operational direction and oversight to Center staff, including the hardware engineer, software engineer, outreach coordinator, and education coordinator.
  • Build project-management infrastructure to track progress, identify risks, and maintain visibility and ownership of major activities.
  • Track commitments, milestones, risks, decisions, and action items across teams and activities.
  • Identify opportunities and needs for engaging Center staff with research teams to facilitate progress.
  • Assist Center leadership in assessing whether activities are progressing toward first-, third-, and fifth-year goals.
  • Identify programmatic problems and challenges and facilitate resolution with appropriate groups and leadership-team members.
  • Coordinate budgets, subawards, expenditures, and contracts with the Financial Analyst, UT sponsored-projects offices, and partner institutions.
  • Support forecasting and management of Center-wide resources.
  • Coordinate administrative aspects of strategic reallocations and new initiatives.
  • Coordinate National Science Foundation reporting and collection of Center-wide metrics and outcomes.
  • Coordinate Institutional Review Board and research-compliance processes across HERO sites and institutions.
  • Maintain records and documentation for annual reviews, advisory committees, and public dissemination.
  • Coordinate with legal, sponsored-projects, research-compliance, communications, and other administrative offices as necessary.
Desired Qualifications
  • Prior experience in project management, managing director, or a related position in large university research initiatives such as a center or institute.
  • Experience working with technical researchers, including computer science, machine learning, and robotics, as well as human-factors researchers, including user experience, design, human-computer interaction, and social science, on a joint project.
  • Experience working with large research teams on federally funded projects, especially large National Science Foundation grants such as NSF Expeditions, Institutes, Centers, Major Research Instrumentation, and NSF Sites.
  • Experience working with research-compliance processes, including Institutional Review Board processes.
  • Direct training in or experience facilitating team or collaborative research, particularly across disciplines.
