Requirements
  • A Bachelor's degree and 3 years of relevant experience, including at least 2 years at a managerial level in personnel, fiscal, and resource management, or equivalent related supervisory and administrative experience, are required.
  • Demonstrated ability to be flexible and responsive in rapidly evolving health care environments is preferred.
  • Excellent organizational and communication skills are preferred.
  • Ability to lead in a positive, goal-directed manner is preferred.
Responsibilities
  • Serve as a member of the Geriatric Division leadership team under the general direction and direct supervision of the Division Administrator.
  • Develop systems and processes with clinical leaders and the Division Administrator to ensure standards are met and efficient operations are achieved.
  • Carry out strategic goals for the Geriatric Division, including Older Adult Services, Memory Care, AD Care, Capacity Clinic, and the Guide Program.
  • Supervise, coordinate, and monitor the work activity of non-clinical staff in the division.
  • Facilitate provider scheduling goals and objectives and collaborate on annual operating budgets.
  • Build, edit, and review reports in eRecord and Tableau.
  • Complete contract reviews supporting Telepsychiatry and Lifespan relationships.
  • Serve as the main administrative contact for 315 Science Parkway.
  • Collaborate with the Department Billing Manager regarding billing operations procedures.
  • Analyze, review, and distribute monthly billing and financial reports.
  • Ensure insurance pre-verification protocols are followed.
  • Approve expense reports in alignment with departmental policy and budget.
  • Review Psych reports and work with staff to resolve discrepancies.
  • Use Tableau reports for operations, utilization, and revenues.
  • Assist with cost-efficiency development, strategy, and processes.
  • Work with Division Clinical Directors and leadership on emerging initiatives.
  • Assist the Senior Administrator in developing annual budgets for Addictions SMH and MFG accounts.
  • Manage within budgeted parameters, reconcile expenses monthly, and address variances.
  • Monitor, analyze, estimate, and forecast staffing expenditures and expense variances.
  • Identify financial problems and initiate corrective action.
  • Coordinate the capital budget process across the division, including determining needs, obtaining quotes, prioritizing requests, and writing justifications.
  • Complete the annual asset review and track changes throughout the year for the following year.
  • Develop cost-reduction and expense-management initiatives in collaboration with management and hold staff accountable for target achievement.
  • Coordinate space planning and monitor ongoing utilization at 315 Science Parkway.
  • Liaise with University of Rochester Facilities and outside vendors to support building needs.
  • Determine annual equipment, space, and clinical support needs with divisional leadership.
  • Evaluate and implement information technology infrastructure needs supporting division functions.
  • Ensure emergency-preparedness practices are completed and support their coordination across programs at 315 Science Parkway.
  • Assist Clinical Directors in monitoring clinical program operations.
  • Implement strategies to grow practice services and census while maintaining service and quality levels.
  • Analyze productivity, clinic volume, and billing reports and disseminate pertinent information to clinical leadership.
  • Provide monthly reports to leadership outlining charges and expenses against budget and targets.
  • Develop action plans to address shortfalls or variances.
  • Develop marketing materials, including brochures and lobby television broadcasts.
  • Interpret policies and regulations, establish division policies to meet operational needs, and implement them as needed.
  • Prepare and coordinate Joint Commission, Department of Health, Office of Mental Health, and Office of Addiction Services and Supports applications, surveys, and site visits.
  • Obtain support services for program areas and resolve support-service problems across program areas.
  • Ensure compliance with Joint Commission, Department of Health, Office of Addiction Services and Supports, and Office of Mental Health regulations related to site operations, physical plant, and personnel.
  • Facilitate documentation in required federal databases for the GUIDE program and pharmaceutical-intervention registries for Alzheimer's treatment.
  • Work on clinical quality-assurance initiatives with appropriate leaders.
  • Request additional resources based on operations and participate in the business-improvement-plan process as needed.
  • Develop staff and faculty distributions, monitor and revise manpower reports, and prepare incremental staffing requests.
  • Prepare budget and full-time-equivalent modifications for hospital accounts.
  • Provide staffing-model reports and information to Service and Research Directors.
  • Interpret and ensure compliance with personnel policies and procedures across program areas.
  • Oversee clerical and administrative operations for assigned divisions.
  • Assist in resolving payroll problems.
  • Review and prepare extra-compensation requests.
  • Directly supervise Practice Manager and Department Coordinator roles in the division.
  • Recruit, hire, orient, train, develop, evaluate, and manage non-clinical staff while maintaining employment-law compliance.
  • Perform other duties as assigned.
