Requirements
  • 2-4 years of relevant accounting experience.
  • Excellent use of Microsoft Office Word and Excel, with very good spreadsheet skills.
  • Knowledge of QuickBooks Online or another accounting system is required.
  • Good math skills.
  • Strong attention to detail.
  • Strong organizational and communication skills.
  • Confidentiality and integrity.
Responsibilities
  • Assist with general accounting and the agency's month-end close process.
  • Work with Account Managers and Partners to address daily client finance questions.
  • Perform daily accounting tasks, including monthly invoices, expense bill-back supporting documents, and daily cash and bank reconciliations.
  • Respond to clients by email and handle questions related to invoices and payments.
  • Work closely with the Controller and CFO to prepare monthly financial statements.
  • Maintain and update accounting records and files.
  • Review and record expenses from RAMP, corporate cards, and Bill.com for approval of bill-back expense invoices.
  • Organize and maintain client files with supporting accounting and expense backup.
  • Manage the accounting inbox and respond to questions and requests from clients and account managers concerning invoices, expenses, project codes, and remaining budgets.
  • Update the master list of client records.
  • Create monthly retainer, project, and pre-bill invoices.
  • Assist with the bi-weekly Accounts Receivable Aging report with Partners to manage collections and communicate with clients about past-due invoices.
  • Post transactions and categorize records in the general ledger using QuickBooks.
  • Reconcile bank statements and post daily cash transactions and deposits.
  • Analyze transactions with internal and external stakeholders and coordinate with the internal team on monthly travel, Uber and transportation spending, UPS/RDS, shipping, and other reimbursable expenses.
  • Add new vendors to Bill.com and collect vendor files, including Form W-9, billing contact, and payment information.
  • Prepare documents for annual audits and tax and compliance filings, including 1099s in January.
  • Apply new accounting policies and ensure compliance with rules and regulations.
  • Report to the Controller, improve financial processes, and support the Controller with month-end, quarter-end, and year-end reporting.
