Requirements
  • A high school diploma or equivalent plus 2 years of related experience.
  • Previous experience in property management or an apartment community and/or with affordable housing programs is strongly preferred.
  • Multilingual skills are strongly preferred.
  • Ability to use and communicate through email is required.
  • Previous customer service experience is required.
  • Strong computer skills, including Microsoft Office, Outlook, and property management software, are required.
  • Successful completion of a background check and drug screening is required.
  • Excellent interpersonal and verbal communication skills are required.
  • Basic math proficiency is required.
  • Ability to work independently, take initiative, multitask, prioritize efficiently, determine the priority level of calls or issues, and maintain organized and detailed work is required.
Responsibilities
  • Achieve maximum occupancy by generating and handling telephone and on-site traffic, showing ready apartments, closing leases, qualifying prospects, completing related paperwork, ensuring timely move-ins, and conducting move-ins.
  • Provide high-quality service to prospective and current residents.
  • Maintain positive relationships with residents, communities, and associated agencies.
  • Keep the reception area clean and maintain professional surroundings.
  • Assist management with administrative projects, phones, faxes, filing, typing, mailings, and rental payment processing.
  • Maintain accurate records of resident transactions and issue resident receipts as necessary.
  • Answer and direct incoming calls and ensure follow-up when the appropriate team member is unavailable.
  • Address resident concerns and requests in a timely manner and communicate responses regarding actions taken.
  • Greet prospective residents and visitors and explain the property's benefits.
  • Interview prospective residents, assess their needs and qualifications, obtain welcome cards or applications, and enter prospect information into the property data system.
  • Schedule application intakes, interviews, application processing, and application distribution.
  • Show apartments and explain layouts, lease terms, facilities, and available services.
  • Qualify prospective residents according to property program requirements and the tenant selection plan.
  • Calculate rent when required based on property procedures or rent schedules.
  • Complete lease documents and collect reservation deposits, security deposits, and initial or prorated rent.
  • Conduct marketing outreach with neighborhood groups, local employers, community organizations, and other prospect sources to convert leads into rentals.
  • Conduct marketing surveys, review traffic reports, and share trends with the Property Manager.
  • Assist with resident retention initiatives, resident functions, promotions, and newsletters.
  • Assist with property communications and notices.
  • Prepare and execute lease renewals and prepare interim recertification, annual recertification, and other required documentation.
  • Secure applicant and resident signatures for administrative processes.
  • Maintain documentation and filing procedures in accordance with standard operating procedures.
  • Process work orders, certifications, deposits, and resident documentation in property management software.
  • Inspect apartments, models, and community amenities to ensure they meet quality standards before showing them.
  • Report maintenance and physical property needs to the Property Manager or maintenance personnel.
  • Input work orders and service requests into the property data system and communicate them to maintenance.
  • Assist in achieving property financial goals.
  • Maintain property rules and regulations in accordance with property programs, standard operating procedures, and applicable laws.
  • Protect resident, applicant, employee, and company confidentiality.
  • Develop linkages with area resources and referral providers to address residents' needs.
  • Promote a positive social climate that fosters resident well-being.
  • Develop relationships with third-party providers and organize resident events and on-site programming.
  • Maintain information on referral resources such as rent and utility assistance, housekeeping, and supportive services.
  • Coordinate quarterly special events at all properties.
  • Identify resident leaders, encourage volunteerism, and promote participation in social and recreational activities.
  • Document contacts with residents, providers, and families and keep resident files current.
  • Prepare and circulate statistics for financial, legal, and administrative requirements.
  • Perform other duties assigned by management.
