Requirements
  • Deep, specialized understanding of court structures, litigation lifecycles, and civil procedure, including Philadelphia state and federal court rules.
  • Proven ability to prioritize and execute multiple urgent filings and tasks under tight, competing time constraints in a high-volume litigation environment.
  • Excellent verbal and written communication skills to explain complex procedural rules to attorneys, staff, and external court personnel.
  • At least 5 years of recent litigation docketing and court filing experience within a mid-to-large law firm, including national experience with a heavy emphasis on Pennsylvania county, state, and federal courts.
  • Expert proficiency in rules-based docketing systems such as Milana and/or CompuLaw.
  • Extensive hands-on experience with court e-filing databases such as PACER/ECF, PA-eFile, and Odyssey.
  • Highly proficient use of iManage or a similar document management system and Adobe Acrobat Professional for document manipulation, splitting, and redaction.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Familiarity with State, Federal, and Pro Hac Vice bar admissions processes.
  • Willingness to assist in training and mentoring junior docketing or filing personnel.
Responsibilities
  • Oversee and personally execute the electronic filing of pleadings, motions, and complex legal documents in federal, state, and appellate courts nationwide.
  • Serve as the resident expert on filing logistics, local procedures, and protocols for the Philadelphia Court of Common Pleas, Pennsylvania state courts, and the U.S. District Court of Pennsylvania.
  • Advise attorneys and paralegals on complex local court rules, judges' individual practices, and filing requirements.
  • Manage and resolve complex electronic filing rejections, docketing discrepancies, and technical court-platform issues.
  • Assist case teams with administrative compliance related to State, Federal, and Pro Hac Vice bar admissions.
  • Perform final quality control on pleadings and documents before electronic filing, ensuring compliance with court-specific formatting, redaction rules, signature guidelines, and exhibit requirements.
  • Audit and verify data entered into the firm's Milana docketing system to ensure dates, deadlines, and events are calculated accurately under the relevant rules of civil procedure.
  • Interpret and apply the Federal Rules of Civil Procedure, Pennsylvania Rules of Civil Procedure, local Philadelphia rules, and other state and local court guidelines to calculate and enter litigation deadlines.
  • Review incoming litigation documents for critical dates and enter deadlines, discovery schedules, and other event reminders into the firm's rules-based docketing software.
  • Alert attorneys and paralegals about urgent upcoming deadlines and maintain end-to-end communication regarding document receipts and filing confirmations.
  • Conduct routine docket sweeps and audits of active case files, identify obsolete deadlines, manually capture non-deadline-triggered events such as judges' individual rules, and reconcile case statuses for closed matters.
  • Retrieve information on litigants, court cases, dockets, and judicial profiles from online databases, including PACER, Westlaw, Bloomberg Law, DocketBird, and CourtLink.
  • Create, prepare, and distribute customized docket reports detailing upcoming deadlines to legal teams across multiple offices.

  • Experience with similar document management systems is acceptable in place of iManage.

The American Lawyer and Law360 reported that Barnes & Thornburg added a 12-lawyer healthcare team to its Raleigh office. In an interview with both publications, partners John Lawrence and Kelsey Jernigan, who lead the team, discussed why they made the move and what they bring to the firm. "We were incredibly impressed with the growth of Barnes & Thornburg's healthcare group over the last four years," said Lawrence, who will serve as managing partner of the Raleigh office (effective Nov. 1, 2026) to AmLaw. "Our areas of expertise are very similar, but we also bring additional areas as well so we can help create a really comprehensive group, and we're so excited about that that will look like." Jernigan told Law360 that the team has longstanding relationships with institutional healthcare providers whom they've advised on all aspects of their business. "We handle transactions, litigation and prospective regulatory compliance," Jernigan said. "This provides Barnes & Thornburg and its existing client base a broad range of experience to draw from, including benchmarking, creative structuring of complex affiliation among providers, successful strategies in defusing government scrutiny and navigating the intricate regulatory landscape." Firm Managing Partner Andrew Detherage and Healthcare Department Chair John Kelly told The American Lawyer that Barnes & Thornburg made growing its Healthcare Industry practice a strategic tenet beginning when Kelly first joined the firm in 2022. "We've kind of blown up our budget in many respects because we added 71 partners and a good number of other lawyers," he said. "We're doing really well, we're ahead of forecast, and we have every reason to believe we're going to finish really strong this year, which is extraordinary given how many people we've brought on."
