Requirements
  • High school Diploma (Bachelor’s Degree preferred).
  • 8 + years of proven experience as an Executive Assistant, supporting a C-level executive.
  • Advanced knowledge of Microsoft Office tools (Word, PowerPoint, Excel), PDF tools, reporting, and equivalent Google tools.
  • Strong oral and written communication skills.
  • Ability to interact with a diverse range of people and represent the CEO’s office in a polished and professional manner.
  • Ability to maintain confidentiality and discretion with highly sensitive materials and information.
  • Proven organizational and time management skills, along with the ability to effectively prioritize tasks.
  • Strong attention to detail.
  • Demonstrated ability to work independently and as part of a team in a fast-paced environment.
  • Must be a U.S. Citizen.
  • All employment is contingent upon the successful clearance of a background check.
Responsibilities
  • Provide high-level administrative assistance to the CEO, including coordinating meetings, managing travel logistics, and handling day-to-day scheduling needs.
  • Act as the primary gatekeeper, assessing and prioritizing requests to ensure the CEO’s time is used efficiently.
  • Monitor and manage the CEO’s inbox to ensure timely follow-ups on high-priority items.
  • Coordinate and support internal and external meetings and executive-level meetings, including scheduling, preparing agendas, distributing materials, and taking minutes and following up on key deliverables.
  • Prepare reports, presentations, and correspondence as required.
  • Stay one step ahead of the CEO’s needs by anticipating potential roadblocks and handling logistical or administrative details before they become issues.
  • Maintain utmost discretion and judgment when handling confidential and sensitive information.
  • Build and maintain strong working relationships with both internal and external partners, including clients, board members, and leadership across different time zones.
