  • Handle a high volume of incoming calls; prepare customer correspondence such as contracts and proposals; open and distribute mail; make photocopies; prepare reports; and send faxes.
  • Be available to work weekends, holidays, and evenings.
  • Be legally eligible to work in the United States.
Responsibilities
  • Fulfill spa reservations for all business segments, including group, resort, local, and member guests, and assist with guest arrival and departure.
  • Support the Sales and Events team by coordinating spa-related requests and group reservations.
  • Manage group spa reservation lists, contracts, rates, billing, and inventory.
  • Monitor and respond to group inquiries by email, phone, and voicemail.
  • Run daily and weekly reports, audit group blocks and pickup, and flag discrepancies or inventory concerns.
  • Collaborate with Sales, Conference Services, Front Office, Accounting, and Reservations teams to meet group needs.
  • Process telephone inquiries and spa, fitness, reservation, and activity scheduling for future and current guests.
  • Offer additional spa bookings and itinerary assistance to all guest segments.
  • Provide departmental assistance and support special projects and group spa reservations.
  • Provide complete information about services offered in the brochure.
  • Attend departmental meetings and training sessions.
  • Respond to guest requests or complaints and ensure appropriate action is taken.
  • Follow up to ensure guest satisfaction.
  • Use booking and management software to schedule, modify, and cancel spa and fitness reservations and services.
  • Respond to general telephone, email, and mail inquiries while supporting the Spa department.
  • Sell products in the retail boutique and assist with merchandising, ticketing, and product replenishment.
  • Communicate guest needs and concerns to the appropriate Spa Manager or Manager on Duty.
  • Participate in ongoing support-staff training covering safety, guest service, and team building.
  • Maintain a clean, crisp, and sanitary spa.
  • Maintain knowledge of treatments, homecare products, and retail products.
  • Comply with Fairmont Grand Del Mar safety and health policies and procedures.
  • Perform other duties assigned by the manager.
