Provides professional and clinical coordination for the Division of Maternal Fetal Medicine. Serve as a point of contact on behalf of the division for various departments and clinic locations across the MUSC enterprise.
Job Duties:
Manages and coordinates the clinical, inpatient, and outreach assignments for the Division of Maternal Fetal Medicine (MFM). 35%
· Gain proficiency in MUSC’s provider scheduling software program (Qgenda) including building and maintaining rules of automation and working exceptions while ensuring ambulatory, inpatient, and outreach sites are adequately covered
· Manage division’s leave requests and identify potential risks to covering the division’s assignments. Make recommendations for improvement, implement change(s), monitor progress, and provide reports to key stakeholders
· Perform audits for accuracy and facilitate changes using Outlook, QGenda, Epic, Simon Web, & all other supportive software
· Notify ambulatory sites and departmental staff of assignments and changes to schedule.
Administrative support to the department’s Vice Chair of Education/MFM director, 20%
· Scheduling and coordinating meetings, maintaining Outlook calendar to ensure engagements are scheduled, and communicating with other team members of scheduling conflicts
· As needed, prioritize and organize director’s outlook email to ensure pertinent information is escalated as appropriate and followed up on.
· Coordination with HR administrator in recruiting and onboarding new providers
Administrative support to the MFM division members. 20%
· Updating and/or maintaining CV’s and Interfolio to ensure all information is current for annual evaluations as well as promotions.
· Coordinating with HR Coordinator on completion of re-credentialing requirements for MUSC as well as outreach hospitals including license renewals as well as academic assessments
· Scheduling and coordinating meetings, maintaining Outlook calendar to ensure engagements are scheduled, and communicating with other team members of scheduling conflicts. Ordering meals, setting up AV, and taking minutes as needed.
· Responsible for preparing travel reimbursements for division. Ensures all forms are complete and include all required documentation for processing.
· General administrative support to all members of the division.
Administrative support to the director or education and educational team, 15%
· Knowledge of educational policies, rules, and regulations, attend regular educational meetings and take minutes as needed.
· Assist the Education Manager and team with special projects as needed including identifying resolutions and improvements with program processes
· Provide backup to other education team members
Must work collaboratively with other administrative staff within the department and the institution to provide optimal customer service to internal and external customers. Answering phones and providing necessary information regarding the MFM division in a timely and efficient manner. 5%
