Requirements
  • Minimum of an Associate of Arts degree or equivalent two years of clerical office support.
  • Previous experience in data entry.
  • Strong written and oral communication skills with the ability to proofread and spell accurately.
  • Ability to organize and maintain records effectively and efficiently.
  • Proficiency in Microsoft Office, specifically Microsoft Word, Microsoft Excel, Internet, and Microsoft PowerPoint.
  • Ability to work effectively and efficiently with people from diverse backgrounds.
  • Ability to demonstrate diplomacy and professionalism when working with all levels of staff and the public.
  • Must be flexible to the company’s core work hours and other work schedules and work locations as needed.
  • Must pass a health screening and tuberculosis test.
  • Must pass background fingerprint clearance.
  • Valid driver's license.
  • Must be at least 18 years old.
  • Ability to lift up to 30 pounds during some job duties.
  • Ability to use hands for computer work and answering phone calls.
Responsibilities
  • Provide comprehensive administrative support to the Vice President of Support Services.
  • Manage and organize correspondence, including emails, letters, and other communications; review and respond to emails, calls, and department inquiries.
  • Coordinate and manage logistics for meetings and events; prepare agendas, resources, and presentations; take minutes and gather notes and feedback for the Support Services Department.
  • Manage calendars and make travel arrangements.
  • Create letters, documents, spreadsheets, and presentations.
  • Maintain and manage AWARDS, the electronic health record system for the Support Services Department.
  • Provide administrative consultation and training to Support Services staff.
  • Maintain accurate records of staff certifications and training and ensure required credentials remain current and compliant with organizational and regulatory standards.
  • Audit electronic health record and binder systems to ensure staff compliance.
  • Participate in reflective supervision meetings, all-staff team meetings, and community functions for the Early Intervention and Inclusion Services program.
  • Coordinate and communicate information among the Vice President of Support Services, staff, partners, management, and stakeholders.
  • Support the Support Services team’s initiatives, projects, and events, including event planning.
  • Collaborate with the Vice President and directors to ensure efficient and effective operation of the Support Services department.
  • Provide customer service and support to Support Services staff, families, and community partners as needed.
  • Support development and maintenance of Support Services program policies, procedures, and documentation.
  • Collect, analyze, and report data related to Support Services programs and initiatives.
  • Handle clerical work orders and procure department supplies.
  • Perform other duties as assigned.
