Requirements
  • 4–6 years in event program management, employee experience, or a related operations role.
  • Owned a multi-day offsite or large company event end to end for 300 or more people, including the budget.

Responsibilities
  • Own end-to-end logistics for the annual company offsite, including venue and vendor sourcing, contracts, travel and rooming, run-of-show, onsite execution, and post-event reconciliation.
  • Support department leads with offsite planning through sourcing, budget guidance, and agenda and logistics consultation.
  • Track event spending in real time against budgets and reconcile it with Finance after each event.
  • Route vendor agreements above the signature threshold through Legal and ensure vendors meet W-9, certificate of insurance, and indemnification requirements before signature.
  • Own traveler safety, emergency protocols, and accessibility requirements for company-sponsored travel and onsite events.
  • Build and maintain Offsite-in-a-Box, including the intake form, planning templates, vetted vendor agreements, and budget calculator.
  • Onboard planners and collect a post-event one-page summary from each gathering.
  • Refine the planning toolkit quarterly based on planner feedback.
  • Use artificial intelligence tools to automate intake triage, vendor comparison, first-draft budget reconciliation, and post-event synthesis.
  • Run budget approval workflows for gatherings within policy and escalate exceptions.
  • Coordinate logistics, communications, and scheduling for company-wide People & Culture initiatives, including engagement survey launches, manager program scheduling, and recognition fulfillment.
  • Own recognition and swag fulfillment end to end, including vendor management for the swag store.
  • Partner with the Celebrations & Community lead on the recognition and celebrations calendar by handling execution, logistics, and vendor relationships.
  • Build and refine processes that scale with company growth.
  • Partner with the Inclusion & Belonging Council to turn ideas into an event calendar and budget and bring events to life.
  • Handle logistics, vendors, communications, and scheduling for Inclusion & Belonging Council programming.
  • Ensure programming works for employees across geographic locations and track participation for hub and non-hub employees.
  • Track participation and feedback and report findings to the Inclusion & Belonging Council.
  • Track attendance, utilization, cost per attendee, and post-event feedback across programs, segmented by hub and non-hub employees.
  • Prepare a quarterly summary of program performance and recommended changes.
  • Evaluate gatherings against changes in connectivity and belonging scores from the engagement survey.

  • Experience supporting an employee resource group, culture council, or other employee-led group.
  • Familiarity with offsite planning platforms or vendor marketplaces.

The integration marks Daybreak's first entry into eprescribing, making its end-to-end, at-home diagnostic and treatment solutions available to more than 300,000 clinicians and prescribers, 3,000 HME provider locations, and 70,000 facilities and health systems nationwide. "Obstructive sleep apnea remains widely underdiagnosed and undertreated in the US, in part because the path from testing to treatment has historically been fragmented across multiple systems and providers," says Wesley Lones, founder and CEO of Daybreak, in a release.
