Responsibilities
  • Oversee daily office operations and ensure smooth functioning.
  • Supervise and support administrative staff.
  • Act as a liaison between departments and upper management.
  • Manage office budgets and track expenses.
  • Coordinate with maintenance services.
  • Handle administrative tasks such as scheduling meetings and managing correspondence.
  • Implement and enforce office policies and procedures.
  • Communicate with department heads.
  • Run reports or track operational metrics as required.
  • Support the Joint Health and Safety Committee and activities at the branch as assigned.
  • Monitor and support Workday activities as assigned; assist frontline staff with navigating Workday and submitting expenses.
  • Work with the OEP/Educator to prepare for orientations and education sessions, including making binders and setting up the boardroom.
  • Prepare nursing bags and order supplies for skills labs and other clinical requirements as needed.
  • Maintain relationships with landlords at all branches and maintenance crews to ensure building needs are addressed, and report concerns to leadership.
  • Greet staff and new recruits and support them as needed.
  • Manage equipment contracts at the branches with leadership support, and update accounting regarding payment changes or issues.
  • Maintain branch cleanliness between cleaning crews by emptying garbage, vacuuming, dusting, and performing related tasks as needed.
  • Assist recruitment by welcoming and setting up in-person interviews and supporting in-office recruiting events.
  • Post memos, newsletters, and union updates on the appropriate boards.
  • Liaise with coordination and leadership regarding concerns and issues, and support site-specific coordination tasks and reports.
  • Assist with engagement and retention activities.
  • Complete mask fit testing as needed.
  • Assist with DNA collection samples and monitor the private inbox.
  • Maintain seniority lists.
  • Complete data collection and entry as required.
  • Support satellite branches with the above duties and travel as required.
