Requirements
  • A high school diploma and one year of related experience in an administrative office or customer service field, or completion of Vision Care 1, 2, and 3 courses, or an equivalent combination of education and experience.
  • Experience with medical terminology is preferred.
  • Demonstrated ability to word process documents and enter data into a database is preferred.
  • Demonstrated skills related to achieving customer satisfaction are preferred.
  • Ability to act as a resource to less experienced staff is preferred.
Responsibilities
  • Perform functions associated with patient information processing for ambulatory care visits, including reception, registration, charge reconciliation, appointment scheduling, electronic medical record task management, In Basket management, and telephone encounter management.
  • Ensure patient satisfaction with information processing and reception services while accurately generating billable services for providers.
  • Greet patients, verify identity using two identifiers, identify providers, direct patients, obtain signatures, assess special needs, monitor the reception area, provide warm hand-offs, communicate waiting times, protect personal health information under HIPAA regulations, and maintain a clean and orderly waiting area.
  • Collect and verify patient demographic and financial information, establish billable accounts, enter information into the electronic medical record and patient access and revenue cycle system, request patient email addresses, and complete required patient forms.
  • Schedule new and return ambulatory care visits, monitor schedules, report problems, preregister patients, coordinate ancillary testing and referrals, follow up on missed appointments and cancellations, complete related correspondence and forms, schedule interpreters and outside services, and ensure patient satisfaction before discharge.
  • Print the After Visit Summary at checkout when appropriate, verify patient identity before providing it, assist with provider template changes, collect copayments, prepare end-of-day deposits, and reconcile discrepancies.
  • Answer and manage clinic calls, route calls to providers or staff, open and route telephone encounters in the electronic medical record, coordinate outgoing calls, provide information, forward calls, page providers, and take messages.
  • Edit and correct registration errors, complete missing registration data, assist with charge reconciliation, ensure schedule accuracy, reduce follow-up and corrective work, and accurately process In Basket messages and referral work queues.
  • Assess the urgency of situations, determine appropriate patient routing, handle complaints, use service recovery concepts, and serve as a frontline problem solver.
  • When competencies are verified by clinical staff, escort patients, collect height and weight information, record current medications and basic visit documentation, and obtain vital signs.
  • Perform other duties as assigned.
