Job Description Summary
The Residency and Fellowship Coordinator II reports to the Residency Program Manager, Residency Program Director and ACGME Fellowship Program Directors and coordinates the annual, quarterly, and daily functions of the Anesthesia residency and Anesthesia GME fellowship programs. The Program Coordinator II is a member of the leadership team and is critical to the success of the programming . As such, the Program Coordinator II must possess skills in leadership and personnel management. Graduate Medical Education Program Coordinators are expected to develop unique knowledge of the ACGME and Program Requirements, policies, and procedures. The Program Coordinator II directly supports the Program Manager, the Residency Program Director, and the GME Anesthesia Fellowship Directors in accreditation efforts, educational programming, and support of residents and fellows.Entity

Job Description
Job Duties:
o 25% Manages two ACGME accredited fellowships which includes coordinating all aspects of recruitment activities (receiving applications, management of both SFMatch and ERAS/NRMP application portals, scheduling, coordinating, and facilitating interviews, arranging lunches); managing onboarding/offboarding processes for fellows; creating and managing fellowship didactic and orientation schedules; coordination of CCC/PEC meetings including scheduling, report preparation, taking meeting minutes, and ACGME milestone reporting; preparing annual program evaluations in MedHub and ACGME WEBADS.
o 15% Coordination and planning of special events for education division including resident/fellow graduation, annual welcome party, wellness events, etc.
o 15% Assists residency recruitment season: assists with coordination for applicant Meet & Greet, (12) residency interview days comprised of 16 applicants each, and (2) post-interview Learning Environment Visits (communicating with applicants regarding schedules, greeting applicants on day of interview, confirming arrangements for lunches and dinners, assisting resident/faculty representatives with schedules, escorting applicants to various locations, etc).
o 10% Responsible for offboarding of graduating residents in coordination and compliance with MUSC GME Office, including acquiring and maintaining graduating resident clearance sheets and epidural keys, obtaining appropriate signatures for diplomas, etc.
o 10% Responsible for creating, managing, and distributing the Weekly Education Update to all Department stakeholders. Maintains resident, fellow websites and program brochures. Manages Weekly Update list‐serve. Responsible for creating, managing, and distributing Job Opportunities email to all residents weekly.
o 10% Manages twice-yearly Mock Oral Board Exams including coordinating faculty reviewers and residents, scheduling space, disseminating examination packets, recording feedback, etc.
o 10% Process bimonthly anesthesia resident VA reimbursement schedule for GME. Maintain resident and fellow files, archives. Process resident, fellow verifications for education division.
o 5% Advise and provide general support to Program Manager for program administrative functions in a timely and accurate manner, i.e. file management, data entry and report preparation administration for relevant program databases (MedHub, ACGME, ABA, Microsoft Teams, etc.), and other education duties as assigned by Program Manager. Assist with GME administrative tasks (ensuring DEA/LLR/DHEC license renewals are completed and submitted on time.) Ensure resident/fellow Medhub work hours are submitted weekly to ensure GME compliance. Responsible for procuring and delivering supplies, equipment, and educational materials to resident workspaces and call rooms as needed. Provide general support to the Department of Anesthesia and Perioperative Medicine.

Minimum Requirements: A bachelor’s degree and two years relevant program experience.
