Requirements
  • A bachelor's degree or equivalent related experience is necessary.
  • A bachelor's degree in a relevant field, such as business administration, public administration, or a related discipline.
  • A minimum of 5 years of experience in an administrative or managerial role, preferably in an academic or research institution.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to use independent judgment and manage confidential information.
  • Ability to analyze and solve problems in a time-efficient manner.
  • Ability to plan, develop, and coordinate multiple projects.
  • Strong organizational skills and the ability to manage multiple tasks and priorities effectively.
  • Proficiency in Microsoft Office Suite and Adobe Professional.
  • Knowledge of human resources practices and procedures, including recruitment, onboarding, and performance management.
  • Familiarity with financial management principles and practices, including budgeting and expense management.
  • Ability to work independently and as part of a team.
  • Strong problem-solving and critical-thinking skills, with a proactive approach to identifying and resolving issues.
Responsibilities
  • Manage and oversee the administrative functions of the Biological Sciences department, including record-keeping, correspondence, and general office management.
  • Approve departmental financial transactions in Oracle, including procurement requisitions, travel and entertainment expense reports, One Card expense reports, and intercompany transactions.
  • Evaluate the appropriateness of expenditures and address questionable transactions using professional judgment.
  • Approve iLab access requests and coordinate fund access with principal investigators and grants specialists.
  • Participate in budget planning and preparation and communicate the budget calendar and process.
  • Perform sponsor-specific compliance checks.
  • Audit Oracle records and assist with correcting project budgets and end dates.
  • Oversee sponsored-award closeout financial processes to support accuracy and compliance with award terms and conditions.
  • Prepare ad hoc financial and budget reports and complete timely accounting reviews.
  • Prepare journal entries and cost-transfer memoranda for adjustments and corrections.
  • Assist with construction planning, renovations, teaching-lab maintenance, facilities work orders, capital-equipment inventory, inventory audits, and departmental space surveys.
  • Supervise the Administrative Coordinator, including approving paid time off and monitoring performance.
  • Supervise department research staff and postdoctoral researchers administratively.
  • Process hiring, payroll, and termination transactions in Oracle.
  • Serve as hiring manager for department research staff positions and point of contact for performance issues, reclassifications, and other human-resources activities.
  • Train departmental staff in Oracle financial systems and the appropriate use of the chart of accounts, POET, and COA.
  • Handle human-resources tasks such as onboarding, offboarding, performance evaluations, and employee relations in compliance with university policies and procedures.
  • Coordinate and support faculty, postdocs, staff, and students in their day-to-day operational needs.
  • Organize and facilitate department meetings, events, and workshops.
  • Maintain and update department databases with accurate information on faculty, staff, and students.
  • Liaise with university departments and external partners to coordinate collaborative projects and initiatives.
  • Develop and implement administrative processes and procedures to improve efficiency and productivity.
  • Respond to internal and external stakeholder inquiries and requests in a timely and professional manner.
  • Stay informed about best practices and emerging trends in higher-education administration and pursue professional development.
