Office & Business Services Coordinator – Event Planning & Logistics, Billing, Procurement, Technology & Financial Operations
Reports to: Chief of Staff, Office of the President
Position Summary:
The Office and Business Services Coordinator provides direct logistical/administrative support for key office functions, including Presidential events and manages the financial, procurement, technology, and administrative operations for the Office of the President. This role ensures fiscal accountability, operational efficiency, transparency and analysis of key financial transactions for the office of the President. The Office and Business Services Coordinator also ensures that the office is properly stocked with essential materials (particularly in high demand times) and troubleshoots with appropriate campus offices to coordinate office upkeep and efficiency.
This role work in close collaboration with the Chief of Staff and the two Senior Special Assistants in the Office of the President to support logistical work needed for the office. This includes collaborating with external stakeholders as well as key departments including Athletics, Development & Alumni Relations, Event Planning, and Communications & Marketing, and the board office to assist with the coordination of special events for the President’s office. This includes preparation and coordination of logistics in collaboration with the Senior Special Assistant (Travel Scheduler and Executive Assistant) and the Chief of Staff for Charter Day, Commencement, Homecoming, and other campus-wide events specific to the President.
Key Responsibilities:
- Serves as the primary liaison for business service-related inquiries within the President’s Office.
- Manage invoices, billing, and procurement processes for the Office of the President.
- Oversee expense tracking and reconciliation, ensuring compliance with university financial policies and procedures.
- Process payments for vendors, honorariums, and other expenditures in a timely manner.
- Maintain financial records and assist with budget planning and reporting.
- Work closely with the university’s finance and procurement offices to ensure seamless processing of financial transactions.
- Support financial planning, cost analysis, and resource allocation for office operations.
- Develops schedules and calendars of cyclical financial transactions in the office of the President to assist with planning.
- Assist with administrative tasks related to contracts, agreements, and vendor management.
- Ensure all expenditures align with university financial policies and guidelines, advising on best practices.
- Works, in collaboration with the Chief of Staff, to optimize service agreements with vendors to ensure cost-effective and high-quality support for the President’s Office.
- Provides logistical support for Presidential events.
Qualifications:
- Bachelor’s degree in finance, accounting, business administration, or a related field preferred.
- 3–5 years of experience in financial operations, billing, or business services.
- Strong analytical and organizational skills with attention to detail.
- Familiarity with university procurement policies and financial systems.
- Proficiency in Workday and Microsoft Office Suite.
Compliance Salary Range Disclosure
Base Compensation Range: $80,000 - $85,000
