Requirements
  • A high school diploma or general education degree (GED) and 6–12 months of experience are required.
  • Strong communication, interpersonal, customer relations, computer, typing, and clerical skills are required.
  • The role requires the ability to concentrate, handle multiple priorities in stressful situations, prioritize and organize work, and maintain strong attention to detail.
  • The role requires considerable standing or walking, regular lifting of objects weighing 20 pounds or less, and assisting with heavier patient-lifting and moving tasks.
  • Proficiency in Microsoft Office applications, including Microsoft Word and Microsoft Excel, is desired.
  • The employee must maintain patient and organizational confidentiality and comply with applicable laws, regulations, safety policies, the Code of Ethics, and organizational procedures.
  • The employee must use proper body mechanics, safe work practices, patient transfer or lifting devices, and personal protective equipment when necessary.
Responsibilities
  • Perform reception duties by greeting and helping patients, visitors, callers, and other departments or offices.
  • Schedule appointments in person or by telephone, coordinate schedules, and maintain physician schedules in the MedAxxis practice-management system.
  • Serve as a liaison between patients and medical support staff and coordinate patient-care issues with other departments.
  • Notify providers of patient arrivals, review service delivery against schedules, and communicate service delays.
  • Answer, screen, and direct telephone calls, take messages, provide information, and assist callers in resolving problems when possible.
  • Pull and file patient charts, physician reports, laboratory results, correspondence, and other medical records.
  • Verify that pertinent tests and laboratory results are available, access Power Chart for missing results, and reschedule appointments when necessary while documenting the reason.
  • Pull new-patient information from Power Chart for entry into MedAxxis and use Mosaiq to identify new patients.
  • Check patients in and out, verify and update medical-record information, and provide required checkout paperwork.
  • Maintain patient accounts by obtaining, recording, and updating personal and financial information.
  • Collect patient charges and copayments, follow up on payment plans, and cross-train to cover basic patient-billing inquiries.
  • Call patients regarding no-shows, reschedule appointments, and forward no-show information to the practice biller.
  • Maintain the reception area, patient lobby, work area, patient records, schedules, and office files in an orderly manner.
  • Sort and deliver mail, medical records, and other correspondence according to office protocol.
  • Perform clerical and word-processing duties, including preparing envelopes, forms, mass mailings, dictation distributions, photocopies, records, reports, and appointment materials.
  • Compile data for reports and retrieve and prepare records or materials for departmental use.
  • Requisition office supplies and small-equipment repair services; monitor inventory, place and expedite orders, verify receipts, and schedule equipment service and repairs.
  • Maintain operations by following policies and procedures and reporting needed changes.
  • Contact hospital personnel, physicians, and physician-office staff to resolve problems, clarify information, and provide first-line departmental support.
  • Manage daily staff schedules, review and sign off on PTO requests before relaying them to the Clinical Operations Manager, and provide input for annual employee performance reviews.
  • Prepare clinical and office supply orders or oversee the person performing that function.
  • Support Patient-Centered Medical Home initiatives, regulatory-agency compliance, and office process-improvement activities.
  • Assist the Clinical Operations Manager in prioritizing work, evaluating effectiveness, modifying activities, and maintaining physician schedules.
  • Communicate with staff and the Clinical Operations Manager to coordinate front-office responsibilities and maintain service quality.
  • Maintain a professional appearance and attitude, provide outstanding customer service, and perform related duties as assigned.
