Requirements
  • A high school degree or equivalent is required.
  • Two years of progressively responsible administrative experience supporting human resources, payroll, recruitment, or related business operations is required.
  • Knowledge of modern office practices and procedures.
  • Knowledge of college and department policies and procedures.
  • Knowledge of employee recruitment and hiring principles, laws, and regulations.
  • Knowledge of computers and job-related software programs.
  • Skill in prioritizing and organizing work.
  • Skill in managing time and determining priorities.
  • Skill in using office equipment such as a computer, scanner, fax machine, and copier.
  • Skill in oral, interpersonal, and written communication.
  • Knowledge of data entry procedures and Human Resources Information Systems.
  • Knowledge of confidentiality standards and best practices for handling sensitive personnel and organizational information.
  • A cover letter, curriculum vitae or resume, and a list of three supervisor references are required with the application.
Responsibilities
  • Process hiring, transfers, and employment transactions within Workday while ensuring accuracy and adherence to payroll deadlines.
  • Administer the full lifecycle of the student employment process, including job postings, applicant management, hiring, onboarding, and orientation.
  • Verify new-hire paperwork for completeness, accuracy, and compliance with College policies, procedures, and applicable state and federal regulations before setting up new positions and employees in the payroll system; track and ensure completion of I-9 and other compliance documents.
  • Monitor HR practices, administer employment verification processes, conduct internal compliance audits, and maintain employment records in accordance with applicable record-retention requirements.
  • Prepare, maintain, and update new-employee information in Workday, databases, tracking logs, and other related documents supporting recruiting and onboarding functions.
  • Manage the criminal background-check process and ensure compliance with legal and internal processes.
  • Coordinate One-Time Payment and Period Activity Pay Assignment processes by collaborating with departments to collect, review, and process payment requests; ensure requests are complete, appropriately approved, accurately entered, and processed according to payroll deadlines.
  • Assist the Talent and Compensation Analyst with Workday EIB uploads and support identification and resolution of transaction errors during testing and processing.
  • Conduct new-employee and student-employee orientations and present information about Human Resources resources.
  • Coordinate campus tours and onboarding activities that promote employee engagement and a welcoming experience.
  • Conduct training for college employees upon request.
  • Serve as the primary point of contact for recruitment and onboarding questions from employees, applicants, students, and departments.
  • Provide responsive customer service while maintaining confidentiality and professionalism.
  • Coordinate the interview documentation process through SharePoint by distributing, tracking, and collecting required interview materials, and following up with hiring managers to ensure timely completion and compliant hiring practices.
  • Assist with transcript collection and saving transcripts to employee files.
  • Assist with front-desk operations and provide administrative support during periods of high activity or staff absences.
  • Assist with employment verification requests and other HR operational activities.
  • Serve as backup to the Administrative Assistant to the Vice President for Human Resources and Legal Activities.
  • Assist in the supervision of student employees as needed.
  • Perform related duties as assigned.
Desired Qualifications
  • Experience using a Human Resources Information System, preferably Workday.
  • Experience coordinating multiple projects while meeting deadlines in a fast-paced environment.
