Requirements
  • An associate degree and 1–3 years of related experience, or equivalent experience in customer service, administration, office management, or a combination thereof.
  • Ability to multitask in a fast-paced environment while maintaining a high level of attention to detail.
  • Strong verbal and written communication skills, including the ability to correspond in a professional, businesslike manner.
  • A high level of initiative and professionalism.
  • Proficiency in the Microsoft Office suite.
  • Ability to apply common-sense understanding to carry out instructions provided in verbal, written, or diagrammatic form.
  • Demonstrated ability to handle highly confidential information with sensitivity, discretion, and professionalism.
Responsibilities
  • Remain at the front desk to greet customers and visitors, ensure guests are comfortable, and connect them with the appropriate personnel.
  • Answer the main Oxford phone number for callers who zero out to an operator.
  • Provide support to the Executive Assistant as needed.
  • Manage schedules for conference and community spaces.
  • Facilitate ordering and delivery of office, conference room, kitchen, and gym supplies and refreshments; perform daily inventory and stocking.
  • Maintain common areas, including the waiting area, conference rooms, and kitchen, in a neat and orderly fashion.
  • Keep closets and cabinets neat and organized.
  • Coordinate package and parcel delivery and receipt; collect and distribute mail daily; and take outgoing mail to the lower-level mail room daily.
  • Maintain and implement the office management schedule and coordinate vendors for janitorial services, monthly refrigerator clean-outs, annual deep cleaning, and organizational and seasonal tasks.
  • Submit work orders and schedule repairs for the general office space and equipment.
  • Order lunches for in-house trainings.
  • Facilitate Oxford employee birthday and anniversary electronic card signing and distribution.
  • Maintain and update the company yearbook.
  • Maintain the unsubscribe list for Oxford’s chief executive officer.
  • Oversee office aesthetics and coordinate delivery and removal of office furniture, equipment, and fixtures.
  • Coordinate use of the online company store and ordering of company apparel; help set up employee accounts; and maintain stock and inventory of Oxford T-shirts, hats, and hoodies.
  • Acquire and deliver employee life-event gifts, including gifts for weddings, newborn babies, hospital stays, and funerals.
  • Reconcile monthly credit card statements for the chief executive officer and Executive Assistant.
  • Handle new-hire and employee-transition activities, including ordering business cards and coordinating additions and updates for names and titles on doors and cubicles.
  • Write and send building notices.
