Role
We are seeking a meticulous and organized Buying Administrative Assistant to support our buying team in sourcing and managing our collection of luxury pre-owned items. The ideal candidate will be passionate about luxury fashion and sustainability, with strong administrative abilities and a keen eye for detail.
Responsibilities
- Administrative Support: Assist the buying team with daily administrative tasks, including data entry, maintaining records of purchased items, and processing transactions.
- Inventory Management: Keep accurate and up-to-date records of acquired items in our inventory management system, ensuring smooth tracking from purchase to listing.
- Cross-Department Collaboration: Work closely with the merchandising, sales, and customer service teams to ensure a seamless transition of items from purchase to listing.
Perform and support any other ad-hoc duties as assigned within the Buying scope.
Requirements
- 1-2+ years of administrative work experience
- Availability to work on weekends at least twice a month
- Availability to work in alternative time zones
- Previous experience in luxury retail, buying, or inventory management is a plus but not required, particularly within the pre-owned or fashion industries.
- Comfortable using spreadsheets, excel, retail math a plus.
- Strong analytical and logical skills.
- Need to have a strong sense of team as you will be working closely with other buyers so being positive and ability to take feedback well is important
- Being able to organize and multi-task is important. Buying has multiple tasks that needs to be completed efficiently throughout the day/week
- Should be research minded and detail oriented
- Ability to multi-task in fast-paced, entrepreneurial environment while maintaining a positive, ownership focused mindset
- Ability to operate fully remotely and digitally
- Ability to work from home in a professional and rigorous way
- Excellent English in both verbal and written communications
- Good Japanese in both verbal and written communications
- Ownership mentality, highly organized, detail-oriented, and ability to work with cross-functional teams
- Ability and willingness to quickly and efficiently adapt in a rapidly changing start-up environment
- Long term commitment and grow with the company
