  • Six months of post-high-school education.
  • Four years of directly related experience, or an equivalent combination of relevant education and experience substituted on a year-for-year basis.
  • The ability to work occasional early mornings, late evenings, or weekends.
  • The ability to pass a criminal background check.

Responsibilities
  • Maintain executive leadership calendars and emails by scheduling and tracking appointments and collaborating with other parties.
  • Prioritize time-sensitive requests and confidential matters.
  • Disseminate confidential documents, sort and distribute mail, and prepare memos, correspondence, forms, reports, and files.
  • Assist with meeting agendas and presentations, and take meeting notes and minutes.
  • Serve as a liaison between department executive leadership, department staff, other City departments, elected officials, and constituents.
  • Prepare travel arrangements, including flights, accommodations, ground transportation, and seminar and training registrations, for the department’s executive team.
  • Manage and maintain department vehicle records and coordinate vehicle availability.
  • Handle incoming calls, direct inquiries and requests, take messages, and forward them to appropriate staff.
  • Respond to voicemails and greet visitors.
  • Provide timely responses to information requests from department staff, other City departments, elected officials, and constituents.
  • Address constituent complaints and concerns by compiling information, researching issues, facilitating resolutions with the appropriate department or agency, and communicating findings to complainants.
  • Record and document complaint actions and resolutions and close out complaints.
  • Promote departmental services and programs to constituents at community and special events.
  • Prepare purchase orders, invoices, and other financial documents for review and approval by the department director.
  • Purchase goods and services, verify procurement card transactions, and reconcile and track office supply expenditures using Enterprise Resource Planning systems.
